Job Description

An Admin Executive plays a crucial role in providing support to management and ensuring the smooth operation of various administrative functions within an organization. This position requires an individual who is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously. The Admin Executive is responsible for a variety of tasks including scheduling meetings, maintaining records, coordinating office operations, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, a strong sense of professionalism, and the ability to work independently as well as part of a team. Moreover, proficiency in office software and prior experience in a similar role will be beneficial for successfully carrying out the responsibilities of this position.


Responsibilities

  • Manage daily office operations and ensure organizational efficiency and effectiveness.
  • Coordinate schedules, appointments, and meetings for executives and senior staff members.
  • Oversee and manage correspondence, including emails, letters, and phone calls.
  • Maintain accurate and up-to-date internal databases and filing systems.
  • Prepare reports, presentations, and data as required by the management team.
  • Liaise with internal departments to ensure smooth communication and collaboration.
  • Assist with the planning and execution of company events and functions.
  • Handle administrative tasks related to HR, finance, and other operational functions.
  • Ensure compliance with company policies and manage office supplies inventory.
  • Facilitate the onboarding process for new employees and manage employee records.
  • Support management in the development and implementation of organizational strategies.
  • Manage travel and accommodation arrangements for executives and staff members.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 2 years of experience in an administrative or executive role.
  • Strong organizational and multitasking abilities required for effective office management.
  • Excellent verbal and written communication skills with attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant office software applications.
  • Ability to handle confidential information with utmost discretion and professionalism.
  • Strong problem-solving skills and the ability to work under pressure.
