Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Manage agendas, travel arrangements, and appointments for the upper management team effectively.
  • Assist colleagues and executives by supporting them with their projects and daily tasks.
  • Prepare and edit correspondence, communications, and presentations with high accuracy.
  • Maintain and update company databases and employee records in an organized manner.
  • Ensure efficient and accurate filing and retrieval of important company documents and records.
  • Answer and direct phone calls and emails, providing correct information or routing appropriately.
  • Greet and assist visitors and ensure they receive exceptional customer service at all times.
  • Monitor office supplies and research advantageous deals or suppliers for replenishment.
  • Generate regular reports and update internal databases and systems timely and systematically.
  • Organize and facilitate meetings, ensuring all logistics are arranged efficiently.
  • Work closely with the HR department in assisting with onboarding or other HR tasks as needed.

Requirements

  • High school diploma required; additional qualifications in Office Administration preferred.
  • Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Excellent knowledge of office management systems and procedures is essential.
  • Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to multi-task and prioritize effectively.
  • Excellent verbal and written communication skills, including spelling and grammar.
  • High degree of discretion and confidentiality with sensitive information and documents.
