The Admin Assistant plays a critical role in ensuring the smooth operation of an office by providing essential support to a team or department. Responsibilities

  • Coordinate and manage daily administrative activities and schedules to ensure office efficiency.
  • Serve as the first point of contact for all external communications and inquiries.
  • Maintain digital and physical filing systems for easy retrieval and security of documents.
  • Handle multiple incoming calls efficiently and relay messages accurately and promptly.
  • Assist with the planning and execution of departmental meetings and events.
  • Prepare and edit correspondence, reports, and presentations as required by the team.
  • Order office supplies and manage inventory to ensure adequacy without overstock.
  • Coordinate travel arrangements, including booking flights and accommodations.
  • Support the finance department with invoice processing and expense tracking.
  • Assist in managing budgets by monitoring costs and expenses against approved budgets.
  • Conduct research and compile data to support the needs of management and other staff.
  • Manage and resolve employee and stakeholder queries in a timely manner.

Requirements

  • Proven experience as an Administrative Assistant or in a similar role.
  • Excellent written and verbal communication skills required for effective collaboration.
  • Strong organizational and time-management skills essential for multitasking.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • High school diploma required; Associate's degree in administration preferred.
  • A proactive approach to problem-solving and strong decision-making abilities.
