Role Overview: 

The Inventory Coordinator at Miral is a key support role focused on ensuring accurate inventory tracking, efficient administrative support, and seamless coordination across the inventory management team. This position is responsible for maintaining essential systems, including Kronos for attendance and payroll submissions, and managing confidential personnel records. By facilitating onboarding, training, and compliance tracking, the Inventory Coordinator ensures that the department operates smoothly and that team members are well-prepared to meet inventory control objectives.

 

A critical aspect of this role involves coordinating procurement processes, including raising and tracking Purchase Requisitions (PRs) with Procurement to ensure timely and accurate fulfillment of goods and services. The Inventory Coordinator also manages office supplies, schedules departmental meetings and events, and assists with director-level support activities such as preparing reports, organizing documents, and creating presentations.

 

The Inventory Coordinator plays an active role in inventory accuracy by performing spot checks and cycle counts, managing inter-site requisitions, and conducting reconciliations in inventory systems like Eatec and Maximo. This includes the creation and management of retail and F&B item codes to streamline inventory tracking and ensure accurate documentation. Additionally, the role supports the Finance department by reconciling import documents for VAT claims and preparing audit-ready import documentation.

 

With responsibilities that include maintaining inventory trackers, reviewing compliance reports, and preparing management reports, the Inventory Coordinator plays a crucial part in ensuring data accuracy and smooth reporting across Miral’s parks and operational sites. This role requires a detail-oriented approach, strong organizational skills, and effective communication to support the inventory control and reporting needs of the team.

 

Role Scope:

Attendance, Administrative & Onboarding Management

  • Kronos System Management: Track attendance, overtime, and leave for department staff, ensuring timely submission for payroll processing.
  • Personal File Maintenance: Keep confidential records of contracts, appraisals, and performance reviews for all team members.
  • New Employee Onboarding: Assist with onboarding new staff, ensuring all required documentation is completed and properly filed.

     

Procurement & PR Coordination

  • Purchase Requisition Management: Raise and process all relevant Purchase Requisitions (PRs) for the department, ensuring accuracy and timely submission.
  • Liaison with Procurement: Coordinate with Procurement to track PR status and resolve any issues related to goods or services procurement.
  • Ensure timely Purchase Order (PO) closing to enable automated generation of F&B Purchase Requests (PRs) in Eatec and the closure of outdated Purchase Orders (POs).

     

Training, Meetings, and Communication

  • Training Coordination: Schedule and manage training sessions for the inventory and warehouse teams, maintain records and ensure compliance with mandatory requirements.
  • Meeting & Event Organization: Manage departmental meeting and training schedules, organizing logistics and communication.
  • Office Supplies & Communication: Ensure adequate office supplies, handle reordering, and act as the point of contact for internal and external communication.

 

Administrative Support for the Warehouse & Inventory Control Director

  • Director Support: Provide assistance with scheduling meetings, organizing documents, preparing reports, and presentations.

     

Daily Operations and Inventory Accuracy

  • Support Daily Tasks: Assist the Inventory Control team with stock movements, adjustments, and reporting. Ensure proper stock levels for smooth operations.
  • Spot Checks & Cycle Counts: Perform spot checks for retail and maintenance inventory issuance to ensure accuracy. Conduct cycle count verifications using Eatec/Maximo systems, reconcile discrepancies, and ensure proper documentation.
  • Inter-Site and Requisition Management: Prepare and manage inter-site requisitions and requisitions for fruits and vegetables. Ensure inter-site transfers are accurately processed in Eatec/Maximo systems.

     

Inventory Management & Documentation

  • Code Creation and Management: Create and manage retail inventory codes and assist with F&B item code creation to streamline tracking.
  • Import Documentation and VAT Support: Check and reconcile import documents to assist Finance in VAT claims. Ensure all import-related reconciliations and documentation are audit-ready.
  • Document Review & Reporting: Review pending documents from all parks and prepare comprehensive reports for management. Conduct spot checks on health check reports to ensure compliance.

     

Systems, Reporting & Team Assistance

  • Tracker Management: Ensure all trackers for parks are up to date for seamless reporting and inventory tracking.
  • Inventory Reconciliation & GL Support: Assist with monthly spot inventory posting for F&B outlets and ensure reconciliation between inventory systems and the General Ledger (GL).
  • Team Support: Provide ongoing support to the inventory team, assisting with any additional tasks related to inventory control and reporting.

     

Education and Qualifications 

  • Higher Secondary education or equivalent

     

Years of Experience

  • Minimum of 1 year experience as an Inventory Coordinator within an FMCG manufacturing or similar environment

     

Knowledge, Languages and Skills

  • Basic knowledge of inventory management techniques, including stock control, reorder processes, and optimization.
  • Proficiency in Microsoft Office Suite, including PowerPoint, with the ability to create clear and professional presentations.
  • Familiarity with cycle counts, periodic counts, and spot checks.
  • Proficiency in inventory software (Oracle, Eatec, Maximo) and ERP systems for stock and purchase order management.
  • Understanding of administrative tasks such as file management, document control, and data entry.
  • Experience with scheduling and attendance tracking (e.g., Kronos).
  • Knowledge of compliance in health, safety, and inventory accuracy standards.
  • Skilled in cross-functional collaboration with Finance, Procurement, and Warehouse teams.
  • Self-motivated, target-driven team player, with the ability to work under pressure.
