The HR Officer will manage and coordinate core HR activities across the employee lifecycle, from recruitment and onboarding to employee support and offboarding. The role requires strong organization, attention to detail, discretion, and the ability to follow up independently with employees, managers, and service providers.
The successful candidate will maintain accurate employee records, support recruitment and HR administration, use Odoo to manage HR information, and help ensure that HR processes are completed consistently and on time.
Key Responsibilities
HR Operations and Employee Administration
Coordinate onboarding and offboarding, including required documents, inductions, exit procedures, and return of company property.
Maintain complete, accurate, and confidential employee files and records.
Prepare employment letters, certificates, contract amendments, and other routine HR documents.
Track probation periods, contract renewals, employee changes, leave, attendance, and other HR deadlines.
Coordinate employee visa, work permit, medical insurance, and related administration with internal teams and service providers.
Maintain accurate employee information in Odoo and other relevant company records.
Support the consistent application of company HR policies and procedures.
Recruitment and Workforce Support
Coordinate recruitment activities for approved vacancies, including job postings, CV screening, interview scheduling, and candidate communication.
Follow up with hiring managers on interview feedback and recruitment progress.
Prepare offer documentation and coordinate pre-employment requirements and joining arrangements.
Maintain accurate recruitment records and provide updates on vacancies, candidates, offers, and joining status.
Support headcount and workforce reporting by keeping employee and vacancy data up to date.
Employee Support and Coordination
Respond to routine employee and manager questions about HR processes, company policies, leave, documentation, and employee services.
Guide employees through HR procedures and required documentation.
Coordinate employee concerns professionally, keep appropriate records, and escalate sensitive or complex matters to the Head of Corporate Services.
Coordinate with department managers and other company functions to resolve routine HR matters and complete employee-related processes.
Payroll, Performance and Training Support
Prepare and check HR information for payroll processing, including attendance, leave, new joiners, leavers, and approved employee changes.
Coordinate probation reviews and performance evaluation activities, including deadlines, forms, manager follow-ups, and recordkeeping.
Support employee inductions, training coordination, and maintenance of training and qualification records.
Prepare and maintain formal employee documentation, such as recognition letters, warnings, and other HR records in line with company procedures.
Reporting and Process Improvement
Prepare regular reports on headcount, recruitment, attendance, leave, employee movements, and other HR activities.
Monitor outstanding HR actions and follow up with employees, managers, and service providers to meet deadlines.
Identify gaps in HR records or processes and recommend practical improvements.
Handle employee information discreetly and maintain confidentiality.
Requirements
Bachelor’s degree in Human Resources, Business Administration, or a related field.
At least 3 years of relevant HR experience, preferably in a growing, multi-department organization.
Practical experience in HR operations, recruitment coordination, employee documentation, and employee support.
Experience maintaining employee records and working with an ERP system. Experience with Odoo is required.
Good working knowledge of UAE HR administration, including employment documentation, leave, payroll inputs, and visa or work permit coordination.
Strong written and verbal communication skills in English.
High attention to detail and the ability to handle confidential information responsibly.
Well-organized and reliable, with the ability to manage multiple priorities and meet deadlines.
Confident coordinating with employees and managers at different levels.
Able to manage routine HR processes independently and recognize when an issue needs to be escalated.
