Job Description

The role of a Receptionist is integral to the smooth operation of any organization as they are the first point of contact for clients and visitors. The ideal candidate will possess excellent communication and interpersonal skills, be highly organized, and have a keen sense of attention to detail. The Receptionist will be responsible for managing the front desk, handling inquiries, and ensuring a welcoming and professional atmosphere in the office. This position requires a friendly demeanor, the ability to multitask, and the ability to work under pressure. Proficiency with office software such as Microsoft Office Suite is essential, as is the ability to effectively manage administrative tasks.


Responsibilities

  • Greet and welcome visitors in a friendly and professional manner.
  • Answer and direct incoming phone calls to the appropriate department or person.
  • Maintain the reception area in a clean and tidy condition at all times.
  • Assist with schedule management, including appointment bookings and calendar updates.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive and distribute daily mail, deliveries, and courier packages efficiently.
  • Manage filing systems and maintain accurate records of activities and transactions.
  • Coordinate with office facilities services and support office maintenance activities.
  • Assist in preparing and organizing meetings and conference room booking.
  • Ensure reception and waiting areas adhere to health and safety regulations.
  • Support administrative tasks such as photocopying, scanning, and faxing documents.
  • Liaise with various departments to ensure smooth and effective office operations.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and other relevant office software tools.
  • Strong communication skills with an excellent phone etiquette and demeanor.
  • Exceptional organizational skills with the ability to prioritize and multitask.
  • Ability to work independently while managing multiple inquiries simultaneously.
  • High school diploma or equivalent; an associate’s degree is a plus.
  • Resourcefulness and proactive thinking to troubleshoot issues as they arise.
