We are seeking a friendly, organized, and efficient Receptionist to join our team. As the first point of contact for our company, the Receptionist will play a crucial role in creating a welcoming and professional environment. Your responsibilities will include managing incoming calls, scheduling appointments, greeting visitors, and supporting various administrative duties. Responsibilities

  • Answer and direct phone calls promptly and courteously to appropriate staff.
  • Greet and welcome visitors as they arrive at the office reception area.
  • Provide accurate information in-person and via phone/email to inquiries.
  • Schedule and confirm appointments for clients and visitors efficiently.
  • Maintain and update visitor logs to enhance office security procedures.
  • Coordinate mail flow in and out of office efficiently and accurately.
  • Assist with basic clerical tasks, including copying, mailing, and filing documents.
  • Manage office supply inventory, and request orders when levels are low.
  • Ensure the reception area is tidy, professional, and welcoming at all times.
  • Support administrative staff with special projects and overflow work.
  • Handle sensitive information with discretion and confidentiality as needed.
  • Operate office equipment including fax machines, copiers, and phone systems.

Requirements

  • High school diploma or equivalent qualification is required for this role.
  • Proven work experience as a Receptionist or similar role is preferred.
  • Strong customer service skills and an ability to handle multiple situations.
  • Excellent verbal and written communication skills are essential for interaction.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is necessary.
  • Ability to maintain a positive and professional demeanor at all times.
  • Strong organizational skills with the ability to multitask and prioritize work.
