Job Description

As a Personal Assistant, you will play a critical role in supporting and enhancing the efficiency of the executive team or individual you are assigned to. Your responsibilities will include a variety of administrative tasks, project facilitation, and personal errands to ensure the smooth operation of daily activities. You will serve as the primary point of contact for internal and external stakeholders on matters pertaining to the executive's office. A successful candidate will be detail-oriented, proactive, highly organized, and capable of addressing issues in a professional and timely manner. This position demands a flexible approach, as the Personal Assistant will need to adapt to changing priorities and embrace multi-tasking challenges with grace and composure.


Responsibilities

  • Maintain and manage executives’ schedules, including planning and scheduling meetings, conferences, and travel.
  • Perform office management tasks such as drafting documents, organizing files, and handling correspondence.
  • Coordinate and facilitate communication between executives and internal or external parties efficiently.
  • Prepare reports, presentations, and briefs to assist with executive decision-making processes.
  • Arrange travel itineraries, accommodations, and manage travel cost reimbursements and accounting.
  • Act as the point of contact between executives and employees or clients, handling requests and queries.
  • Organize events and appointments, ensuring all logistical considerations are arranged properly.
  • Assist with personal errands and other personal duties as directed by executives.
  • Proactively work to identify and solve potential operational issues proactively and creatively.
  • Manage sensitive matters with a high level of confidentiality and professionalism.
  • Handle and prioritize all outgoing or incoming correspondence and phone calls.
  • Develop and carry out an efficient documentation and filing system for both paper and electronic records.

Requirements

  • Proven work experience as a Personal Assistant or Executive Assistant.
  • Excellent verbal and written communication skills are required.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to multitask and prioritize daily workload efficiently and effectively.
  • Proficient in using office software applications such as MS Office Suite and calendar tools.
  • Capable of working under pressure with high levels of discretion and confidentiality.
  • Strong interpersonal skills to interact with diverse personalities in different environments.
