The Opportunity at a Glance

A growing premium wellness studio offering yoga, movement classes, workshops, and community experiences is seeking a Team Administrator to support leadership and manage daily studio operations remotely.


The business operates in a fast-moving, customer-focused environment where smooth scheduling, accurate system management, and exceptional communication are essential. This role blends administration, CRM ownership, and executive support — making you the operational backbone of the studio.


This position operates within the Australian NT time zone and requires confident, professional daily communication with members, instructors, and suppliers. 


 


How You’ll Make an Impact

You’ll ensure the studio runs smoothly behind the scenes while maintaining a polished, warm experience for members and stakeholders.


Administration & Systems


  • Manage and respond to studio and customer emails promptly and professionally




  • Answer and make phone calls with members and suppliers with a polished, friendly manner




  • Maintain Google Calendar and ensure scheduling accuracy




  • Ensure classes, workshops, programs, and events are accurately set up and published




  • Track memberships, cancellations, pauses, and renewals weekly




  • Maintain organized Google Drive file structures and documentation




  • Support setup of online forms, contracts, and templates




Mindbody CRM Management (Core Responsibility)


  • Own day-to-day use of Mindbody CRM ensuring data accuracy and integrity




  • Manage class schedules, memberships, pricing, and customer records




  • Generate reports and insights to support decision-making




  • Troubleshoot basic system issues and coordinate improvements




Executive Assistant Support


  • Provide direct support to the Founder/Director




  • Manage calendars, scheduling, and priority planning




  • Support inbox management and task coordination




  • Prepare documents, summaries, and updates




  • Act as a trusted operational partner to leadership




Team, Member & Supplier Support


  • Serve as a key point of contact for members, instructors, and suppliers




  • Handle enquiries with empathy and professionalism




  • Support instructors with scheduling and administrative matters




  • Identify and improve communication and workflow processes




 

What We’re Looking For - You’re the Perfect Fit if You:

(Non-negotiable requirements)




  • Are based in the Philippines and seeking a full-time remote role




  • Have proven experience as a Team Administrator, Studio Administrator, or Executive Assistant




  • Have strong, hands-on experience using Mindbody CRM (this is essential)




  • Have an excellent, confident phone manner and are comfortable speaking daily with members and suppliers




  • Possess strong written and verbal English communication skills




  • Are highly organised and detail-focused




  • Are confident using Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)




  • Can manage multiple priorities calmly and professionally




  • Are comfortable working within the Australian NT time zone

Work Schedule & Employment Terms

Full-Time | Monday to Friday (Australian NT time zone)
Remote role for Philippine-based candidates only
Fully compliant PH employment — including taxes and government contributions
(Not freelance or project-based)
