Duties & responsibilities

What this job involves –

  • The Maintenance Planner is responsible for the management of planned and routine maintenance schedule requirements, including development and integration into the CMMS.
  • The Maintenance Planner will work closely with the Facilities Operations team to ensure delivery of planned and routine maintenance activities in line with contract, statutory, JLL, and OEM requirements and obligations.

Major Responsibilities

  • Establish and manage technical preventative maintenance schedules in conjunction with FM Teams, Project Team, JLL Engineering, Sourcing & Procurement, and client.
  • Manage the build updates within ‘Corrigo’ (CMMS) through contract changes and on/off processes.
  • Oversee the management of statutory compliance items by ensuring relevant preventative maintenance is conducted.
  • Establish and maintain a preventative maintenance performance reporting schedule.
  • Liaise with FM Teams to assist in the management of poor performing preventative maintenance contractors; and
  • Liaising with HSSE, Risk and Compliance Manager(s) to ensure statutory obligations associated with Programmed Preventative Maintenance are appropriately managed through JLL’s compliance platform.

  • Build and develop effective relationships with key stakeholders and be comfortable working across all levels.
  • Monitor procedures to ensure client’s expectations are met within applied deadlines.
  • Adhere to JLL procurement best practices in accordance with agreed client procurement rules – primarily through the development of efficient technical maintenance schedules.
  • Seek ways to reduce costs and improve operational delivery standards.
  • Manage the development of preventative maintenance contract specifications and associated service frequencies in close consultation with the FM Teams and vendor base.
  • Refine preventative maintenance process management in conjunction with FM Teams to ensure the timely completion of reporting requirements; and
  • Ensure compliance with JLL’s minimum operational and safety standards.

Employee Specifics

  • Tertiary qualifications in Facilities, Asset Management or related field are desirable but not mandatory. Demonstrable experience within a similar role will be well regarded.
  • A demonstrated aptitude for the interpretation and analysis of numerical data; preferably in an asset / equipment / maintenance planning and scheduling context, with an understanding of how they relate to property and building management.
  • The ability to extract and analyse data into clear and logical reports with a particular attention to detail.
  • Proficient in the use of the MS Office product suite including Word, Excel, PowerPoint and Outlook, particularly Excel with a knowledge of pivot tables, lookups, complex formulas, etc.

Performance objectives

  • Managing and deploying the CMMS scheduling module platform
  • Deliver defined review and reporting requirements of planned and reactive management performance
  • Continuous improvement and updating of the asset management approach
  • 100% compliance with JLL and client audit, compliance and ethics requirements

Key skills

  • At least 1-3 years of experience in managing and/or delivering schedule planning associated with asset management and maintenance strategies in a commercial environment
  • Demonstrated skills in rigorous, fact-based analyses that drive creative problem solving, proposal preparation, and negotiations.
  • Persuasive written and verbal communication skills coupled with strong multi-tasking and organizational capabilities, with a high level of attention to detail.
  • Electrical, mechanical and/or a related engineering/trade field, Facilities Management experience
  • A quality and continuous improvement focus
  • Engaging and passionate about data management with the desire to make a difference.
  • Commitment to continuous improvement, motivated ‘can-do’ attitude, and results oriented.
  • Able to problem solve and to think strategically, with a common-sense approach and initiative when resolving issues.
