Job Overview

We are looking for a skilled Admin Assistant to provide comprehensive administrative and operational support to our executive team and various departments. The successful candidate will play a crucial role in ensuring the smooth running of our office and supporting the companys day-to-day operations.

Key Responsibilities

  • Administrative Support:
    • Manage and maintain executives calendars, including scheduling meetings, appointments, and travel arrangements
    • Handle incoming phone calls, emails, and correspondence, redirecting as necessary
    • Prepare and edit various documents, including reports, presentations, and memos
    • Organize and maintain filing systems, both physical and digital
    • Coordinate and arrange meetings, including booking conference rooms and preparing necessary materials
    • Manage office supplies inventory and place orders as needed
    • Assist with expense reports and reimbursement processes
  • Executive Assistance:
    • Provide high-level support to executives, anticipating their needs and proactively addressing issues
    • Act as a liaison between executives and internal/external stakeholders
    • Prepare briefing materials for executive meetings and follow up on action items
    • Assist in the preparation of board meeting materials and coordinate logistics
    • Handle confidential and sensitive information with discretion and professionalism
    • Manage executive travel arrangements, including itineraries, accommodations, and expense reports
  • Operational Support:
    • Assist in the coordination of company events, including team-building activities and client meetings
    • Support HR processes, such as onboarding new employees and maintaining personnel files
    • Contribute to the development and implementation of office policies and procedures
    • Liaise with IT department to resolve technical issues and manage equipment inventory
    • Assist with basic bookkeeping tasks, such as processing invoices and maintaining financial records
    • Coordinate with facilities management to ensure a safe and efficient work environment
    • Support project management initiatives by tracking deadlines, organizing documentation, and facilitating communication between team members
Qualifications And Skills

  • Bachelors degree in Business Administration, Office Management, or related field
  • 3-5 years of experience in an administrative or executive assistant role
  • Exceptional organizational skills and ability to prioritize tasks effectively
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with scheduling and calendar management software
  • Familiarity with office equipment and technologies
  • Ability to work independently and as part of a team
  • Excellent interpersonal skills and professional demeanor
  • Strong problem-solving abilities and attention to detail
