Job Description

The Legal Administrator is responsible for preparing, reviewing, and negotiating contracts, ensuring compliance with licenses and permits, and managing corporate and ISO documentation. The Document Controller is responsible for managing and maintaining the organizations official files, ensuring they are accurate, accessible, and up-to-date.

Document Management

  • Organize, manage, and maintain all official files, including corporate, legal, and operational documents.
  • Ensure proper categorization, storage, and accessibility of documents for stakeholders.

Compliance and Accuracy

  • Ensure all documents are accurate, up-to-date, and compliant with organizational standards and regulatory requirements.
  • ISO Document Control
  • Act as the repository for all ISO manuals and standard operating procedures (SOPs).
  • Manage updates and version control for ISO-related documents and coordinate with relevant teams.

Stakeholder Coordination

  • Liaise with consultants, auditors, and accreditation bodies to facilitate document-related compliance and audits.
  • Collaborate with internal teams to address document needs and support operational processes.
  • Prepare, review, and negotiate contracts as authorized; coordinate with legal counsels as needed
  • Assist with local and international stakeholder relationship development
  • Oversee timely application of and compliance with licenses, permits, intellectual property, etc.
  • Manage the physical safekeeping of all corporate documents, permits, licenses, etc.
  • ISO Document Controller: Repository of all the regularly updated official ISO manuals and SOPs
  • Essential ISO documentation experience is required for managing and maintaining official ISO manuals and standard operating procedures.
  • Liaison with consultants and SGS for accreditation and maintenance
  • Administrative support for the SQM Team including special projects and purchasing
  • Perform other projects and responsibilities that may be assigned to her/him (may include special workshops for HU)
  • Candidates must have a minimum of 1-2 years of experience in document control or document management.
  • A Bachelors degree is required for this position.
  • Legal or contract management experience is preferred for preparing, reviewing, and negotiating contracts.
