Project and Documentation Coordinator (Remote - Philippines) | Construction & Design Industry

The Opportunity at a Glance


We’re looking for a Project and Documentation Coordinator to support a dynamic Australian-based company specialising in construction, restoration, and design. This is a full-time, remote role for Philippine-based candidates, employed under a proper PH setup.


You’ll play a key role in supporting the team with documentation, tender preparation, coordination, and light financial administration. The ideal candidate has experience in the Australian construction or architectural industry, understands construction workflows and documentation, and is highly organised, tech-savvy, and collaborative.

How You’ll Make an Impact



  • Prepare, format, and collate construction documentation and tender packages.

  • Make minor drawing updates in Revit, ArchiCAD, or AutoCAD as directed by project managers or architects.

  • Review and interpret plans, specifications, and construction documents with accuracy.

  • Track and maintain version control and digital documentation to ensure files are current and organised.

  • Support tender and bid submissions, including document collation, formatting, and liaising with subcontractors for quotes.

  • Maintain a tender register, tracking deadlines, submissions, and responses.

  • Assist with raising purchase orders, processing basic invoices, and tracking payments.

  • Coordinate project schedules, meetings, and milestone tracking.

  • Help implement and improve documentation and workflow systems for greater efficiency.

  • Liaise with project managers, clients, and subcontractors to ensure seamless project communication.


 


What We’re Looking For - You’re the Perfect Fit if You:



  • Have 3-5 years of experience in the construction or architectural industry, ideally with commercial project exposure.

  • Possess solid knowledge of construction documentation, terminology, and workflows.

  • Have proven Australian construction industry experience (non-negotiable).

  • Are proficient in Revit, ArchiCAD, or AutoCAD for basic drawing updates and reviews.

  • Are comfortable using project management tools, cloud-based systems, and Microsoft Office applications.

  • Have excellent organisation and communication skills with strong attention to detail.

  • Can prioritise tasks and work autonomously while maintaining accuracy under tight timeframes.

  • Thrive in a collaborative team environment, taking initiative to support shared goals.

  • Are proactive, adaptable, and logical, with the ability to think laterally and find solutions.


 


What Sets You Apart - You’ll Shine Even Brighter With:



  • A degree or diploma in Architecture, Construction Management, or Building Design.

  • Experience using project management software such as Buildertrend, Procore, or Aconex.

  • Exposure to tender coordination, invoicing, or cost estimation.

  • A desire to grow into a senior coordination or project management role over time.


 


Work Schedule & Employment Terms



  • Full-Time | Monday to Friday

  • Remote role for Philippine-based candidates

  • Proper Philippine employment setup (not freelance or project-based)
