Project Administrator (Remote - Philippines) | Commercial Construction & Fit-Out Industry
Are you a detail-oriented project coordinator with strong construction administration experience? We’re hiring a Project Administrator to support end-to-end fit-out and construction projects for a leading Australian design and build company.
We’re looking for an experienced Project Administrator to join a dynamic Australian construction and interiors firm specialising in commercial fit-outs and refurbishment projects. This is a full-time, remote role for Philippine-based candidates, employed under a proper PH setup.
You’ll be responsible for providing end-to-end administrative and documentation support across multiple construction projects, ensuring all tenders, contracts, and budgets are managed accurately and efficiently. The ideal candidate must have prior Australian construction or project management experience and be confident coordinating with subcontractors, suppliers, and internal stakeholders in a fast-paced environment.

Manage the tender and estimating process from initial request to submission.
Prepare and compile tender documentation, working closely with clients and subcontractors.
Develop scope of works and trade packages, and request quotations from trades.
Analyse and validate subcontractor pricing to ensure accuracy and competitiveness.
Complete quantity take-offs and assist in budget preparation.
Follow up on tender submissions and respond to requests for clarification.
Support the preparation of high-level construction programs for tender.
Handle procurement of trades, including preparing tender packages and scopes of work.
Assess and prepare payment schedules and claims for subcontractors.
Prepare client progress claims and maintain records of approvals and variations.
Manage upstream and downstream RFIs, variations, and drawing registers.
Monitor and update project budgets, ensuring all financial documentation is accurate.
Assist with project reporting and general administrative tasks for the Project Manager.
Have at least 3-5 years of experience in construction administration or project coordination, in Australian commercial fit-out or building projects (non-negotiable).
Have a strong understanding of construction documentation, drawings, and tender processes.
Are confident managing RFIs, variations, and progress claims.
Have exceptional attention to detail and the ability to interpret scopes, drawings, and technical specifications.
Are organised, proactive, and able to problem-solve with sound judgement.
Have excellent time management skills and the ability to handle multiple priorities simultaneously.
Communicate clearly and professionally with internal and external stakeholders.
Experience in commercial fit-out, refurbishment, or design-build environments.
Knowledge of construction programs, cost tracking, or project reporting tools.
Proficiency with Microsoft Office, Bluebeam, or construction software (e.g., Procore, Buildertrend, Aconex).
Strong analytical and documentation skills, with a proactive approach to continuous improvement.
Full-Time | Monday to Friday
