Role Overview
The Junior Executive Assistant provides high-impact administrative and operational support to the Executive Leadership Team (ELT). This role ensures seamless coordination across departments by managing executive schedules, facilitating communication, and supporting strategic initiatives.
Acting as the “connective tissue” of the organization, this role requires strong multitasking abilities, discretion, and adaptability to different leadership styles. By optimizing day-to-day executive operations, you will help drive faster decision-making and alignment across key business units.
Key Responsibilities
Executive Calendar Management Manage and synchronize complex schedules for multiple VPs, resolving conflicts and optimizing time allocation.
Cross-Functional Communication Serve as a central communication hub—prioritizing, routing, and managing messages across departments.
Travel Coordination Organize end-to-end travel arrangements, including itineraries, logistics, and expense tracking.
Meeting & Project Coordination Prepare agendas, document action items, and track progress of cross-functional initiatives.
Document & Presentation Support Create and refine reports, presentations, and executive correspondence.
Information Management Maintain organized digital records and ensure quick access to critical information.
Budget & Expense Administration Handle expense reports, reimbursements, and assist in budget monitoring.
Research & Insights Conduct market and internal research to support executive decision-making.
Cross-Department Projects Coordinate initiatives across multiple teams to ensure alignment and timely delivery.
Stakeholder Management Act as a liaison between executives, internal teams, and external partners.
Event Planning Organize leadership events, town halls, and team activities.
Confidentiality & Discretion Manage sensitive information with the highest level of professionalism.
Process Improvement Identify inefficiencies and recommend process enhancements.
Continuous Learning Stay updated on tools and best practices in executive support.
Qualifications
At least 2–3 years of experience supporting multiple executives or stakeholders
Proficient in MS Office, Google Workspace, and calendar management tools
Strong communication and organizational skills
Experience in travel coordination, expense management, and administrative support
