We are seeking a highly organized and proactive individual to join our Manila team and provide critical support for financial operations and HR administrative tasks across multiple projects.


Position Overview:

As a Financial Operations Support Administrator, you will assist with financial tracking, project management, and administrative duties, working closely with teams across our studios in Bangkok, London, New York, and San Francisco. You will play a key role in ensuring smooth project administration and efficient billing processes.


The ideal candidate will possess strong attention to detail, excellent communication skills, and experience with project management and financial software tools.


Key Responsibilities:


Project and Financial Operations:

Kantata System Maintenance: Regularly update and maintain project data within Kantata, ensuring that project milestones, resources, and timelines are accurate and aligned with financial reporting

  • Project Phase Management: Oversee the full cycle of project phases, including opening, closing, and updating project dates based on feedback from the project teams.
  • Document Management: Upload contracts, ASAs (Agreements for Services), and other essential documents to Kantata, ensuring only signed versions are retained.
  • Resourcing and Scheduling: Track project allocations, update resourcing schedules, and collaborate with project managers to ensure timely task completion.


Timekeeping and Cost Management:

  • Timesheet Management: Send reminders and verify timesheets, especially for hourly phases, ensuring accurate timekeeping for billing and reporting.
  • Cost Balancing: Reconcile expenses between BQE Core and Kantata, ensuring costs are logged accurately and projects remain profitable.


Administrative Support

  • General Admin: Provide ongoing administrative support to the project management team, including generating reports and handling project-related tasks.
  • Ad-Hoc Tasks: Assist with additional project management and financial operations tasks as needed.


HR Administration Support

  • Coordinate employee onboarding and offboarding (documentation, system setup, orie
  • ntation)Maintain accurate employee records in HRIS and personnel files
  • Support payroll processing by tracking changes (new hires, terminations, status
  • updates)
  • Assist with benefits administration
  • Support with system updates and clean up, i.e system terminations and onboarding
  • Support performance review cycles and feedback processes
  • Prepare HR reports, audits, and documentation as required


Required Qualifications:

  • Experience: Minimum of 2 years in financial operations, administrative support, or project management.
  • Skills: Strong attention to detail and experience managing large data sets.
  • Familiarity with project management software (experience with Kantata is a plus).
  • Excellent communication skills and ability to work effectively with cross-functional teams.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Tech Proficiency: Proficient in Google Workspace (Docs, Sheets, Gmail) and Microsoft Office Suite (Excel, Word).
  • Languages: Fluent in English (written and spoken).
  • Personal Qualities: Self-motivated with strong initiative and problem-solving skills.
  • Excellent organizational skills and ability to manage multiple projects simultaneously.
  • Collaborative mindset with the ability to work across time zones.
