Your Role:


As a Facilities and Administrative Specialist, you will:

  • Manage and monitor monthly supplies purchase requests for cleaning, pantry, and office needs through standard supplies trackers.
  • Analyze monthly consumption trends using first-in-first-out practices to prevent wastage, theft, and expiration.
  • Ensure timely submission of RFP and RCA for government and regulatory requirements, including PEZA permits and FSIC.
  • Maintain facility uptime by ensuring accurate and prompt submission of RFPs to Finance 3 days prior to receiving invoices.
  • Address site requests and concerns within provided turnaround times to meet the 95% SLA target in the Microstatus Ticketing System.
  • Coordinate with internal and external stakeholders for ISO audits, mobile van parking, and vendor documentation for accreditation.
  • Process parking passes and fees for managers, and manage housekeeping services and site construction requirements.


What You Need:


Non-negotiables


  • Expertise in facilities and administrative works.
  • Strong Analytical Thinking to identify key components of problems and interpret information from various sources to spot trends.
  • Regulatory Knowledge regarding PEZA, LGU, and Bureau of Fire Department compliance requirements.
  • Documentation Proficiency in processing RFPs, OSRFs, and vendor cost comparisons.
  • Proactive Problem Solving with the ability to deduce cause and effect and evaluate risks to reach logical conclusions.


Preferred skills/expertise


  • Experience in handling FACS internal and external ISO audits.
  • Leadership Ability to train new admin team members and set realistic objectives.
  • Adaptability to learn new tasks rapidly and respond swiftly to changing site needs.
  • Collaborative Mindset to actively participate in teams and prioritize collective goals over individual ones.
