About The Job
The Executive Services Lead will oversee and manage a team of executive assistants providing high-level administrative support to the executives within the company. This role requires strong leadership skills, exceptional organizational abilities, and the ability to foster collaboration and efficiency among the team. She/He will play a critical role in ensuring the smooth functioning of executive operations and maintaining effective communication channels across the organization.
In parallel, the Executive Services Lead will provide an extensive level of support to the CEO from diary management, deadline management, meetings and events management, and other project/tasks as required to support key department objectives, processes, and deliverables.
What Youll Do
Team Management and Leadership:
- Supervise and mentor a team of executive assistants, providing guidance, training, and support to ensure their professional growth and effectiveness.
- Foster a positive and collaborative team culture, encouraging open communication and high performance.
Strategic Planning And Execution
- Develop and implement strategic plans and initiatives to optimize the effectiveness and efficiency of executive support services.
- Collaborate with key stakeholders to align executive support services with organizational goals and priorities.
Process Improvement And Standardization
- Evaluate existing administrative processes and identify opportunities for improvement, standardization, and automation.
- Implement best practices and standardized procedures to enhance efficiency and streamline operations.
Relationship Management
- Build and maintain strong relationships with executives, understanding their needs and expectations to provide exceptional support.
- Liaise with other departments and stakeholders to ensure effective collaboration and coordination of executive support services.
Performance Monitoring And Reporting
- Establish performance metrics and goals for the executive assistant team, ensuring alignment with organizational objectives.
- Monitor and evaluate team performance, providing regular feedback and conducting performance reviews.
Calendar Management
- Establish scheduling protocols – team huddles, 1:1 with direct reports, business/project reviews, clashing schedules, focused time, lunch, etc
- Proactively manages schedules and arrange meetings based on the established protocols
- Ensures availability of meeting materials for pre-read, ahead of the appointment
Information Management
- Accurately record minutes from the meeting
- Screens and direct phone calls and distribute correspondence
- Screens documents for signing/approval
- Establish systems to manage department information assets and files
- Update contact records as necessary
Deadline Management
- Ensure that regular reports are delivered on schedule
- Monitors and tracks all commitments/tasks of the Executive
- Ensures that the team is compliant with the regulatory requirements such as compliance courses/trainings, Annual medical exams etc
Event Management and Coordination
- End-to-end coordination of onsite/offsite internal events (Townhalls, Strategy sessions, out-of-town working weekends, among others) - Agenda building, booking of in-house meeting rooms, sourcing/ negotiation of external venues, IT requirements, sending of invites, research & organize speakers/ facilitators, organize print materials (training folders, print flyers, manage the printing of support documents) and tracks/ manage costs within budget
Travel Management
- Arrange local and international travel needs (flight tickets, accommodation, airport transfers, communication with the company driver etc.)
What You Need To Have
At least 5 years of work experience in the related field is required for this position
Strong interpersonal, organizational, planning, and problem-solving skills
Keen on details, results and process oriented, confident & proactive
Ability to organize a daily workload by priorities
Must be flexible to work nights and weekends, when necessary
Computer literate: MS Word, Excel, Power Point, Outlook, MS Teams, Sharepoint
Fluent in English, very good communication skills
