About This Role

Reporting to the Global Mobility leadership team, this role provides operational and administrative support across Global Immigration, EMEA Global Mobility and International Remote Work Requests.  This position offers the opportunity to work with diverse stakeholders across multiple regions while managing complex operational processes movement in line with JLL policies and processes.

You'll serve as a trusted first point of contact advisor for immigration policy questions, manage day-to-day administrative support for global transfers and assignments for EMEA, and ensure exceptional service delivery through technology platform management and stakeholder collaboration.

Key Responsibilities

Global Immigration & Policy Operations

  • Provide expert guidance on global JLL immigration policies, country specific visa and work permit applications, and permissible activities for new hires current employees. Handle emergency immigration support operations with urgency while ensuring compliance with local regulations and JLL policies.
  • Coordinate with external immigration vendor to initiate work permit applications, renewals and other immigration matters
  • Monitor immigration case status and work permit expiry dates and outstanding actions, proactively following up with the stakeholders
  • Serve as a key contact for routine employee/stakeholder immigration queries and escalate complex or policy-related matters as appropriate
  • Monitor and triage incoming queries through JLL’s internal HRIS system
  • Support immigration compliance activities, including leaver notifications, document reviews, immigration audit and tracking of required actions
  • Maintain accurate immigration records on Workday and internal trackers
  • Review and process invoices from tax providers, relocation management companies, and immigration vendors
  • Support the review and documentation of immigration policy exceptions, escalating matters requiring further review or approval

Exception Management & Compliance

  • Execute Tier 1 exception review and approval processes for global immigration matters. Document global immigration exceptions while ensuring audit readiness and regulatory compliance.

 

 

EMEA Global Mobility Operations

  • Provide day-to-day administrative support for EMEA international transfers and international assignments
  • Coordinate case initiation with external vendors, prepare and maintain assignment and transfer documentation
  • Track international assignment milestones, extensions, repatriation and other case changes
  • Coordinate with the internal downstream partners (Payroll, IT, HR Services, TA) to ensure the downstream processes progress smoothly and within required timelines
  • Maintain accurate case records, trackers and documentation throughout the transfer/assignment lifecycle

International Remote Work (IRW) Requests

  • Manage the administration and coordination of IRW requests in accordance with JLL policy and established processes
  • Coordinate required reviews with the relevant stakeholders and track cases
  • Follow up on outstanding actions and ensure appropriate documentation and approvals are maintained
  • Escalate exceptions and complex or policy-related cases to the Global Mobility leadership

Systems & Technology Management

  • Maintain accurate employee immigration information across JLL’s internal HRIS system and internal trackers
  • Run and maintain regular reports to support case tracking and visa expiry monitoring
  • Ensure case documentation and status information are complete, accurate and up to date
  • Maintain the audit calendar ensuring governance steps are on track

What We're Looking For

 Essential Experience

  • Bachelor's degree or equivalent experience in immigration, human resources, or related field desirable
  • 3-5 years of experience in global mobility, immigration, and international HR operations
  • Solid understanding of global immigration regulations and corporate mobility practices and the impact this has on employee experience
  • Experience with HRIS systems, preferably Workday
  • Proven track record with invoice processing

 

Technical & Analytical Skills

  • Proficiency in mobility and immigration technology platforms
  • Intermediate to Advanced Excel skills for data analysis and reporting
  • Strong attention to detail with ability to manage multiple complex cases simultaneously
  • Experience with policy interpretation and exception management processes

 

Communication & Relationship Building

  • Excellent written and verbal communication skills with ability to explain complex immigration matters clearly
  • Strong relationship-building capabilities with internal and external stakeholders
  • Cultural sensitivity and ability to work effectively across different time zones and regions
  • Customer service orientation with focus on employee experience
