The Senior Payroll Associate holds a pivotal role in ensuring timely and accurate payroll processing while maintaining compliance with governmental regulations and company policies. This position demands a detail-oriented professional with robust analytical skills and a deep understanding of payroll systems. The ideal candidate will exhibit a high level of integrity, strong organizational skills, and the ability to handle sensitive information with discretion. A Senior Payroll Associate acts as a liaison between the payroll department and other departments, assisting in resolving payroll-related issues and queries while providing excellent customer service to employees. This role also involves reporting and documentation to support audits and continuous improvement initiatives. With an eye for detail, the Senior Payroll Associate will leverage their expertise to ensure payroll operations run smoothly and efficiently, contributing significantly to employee satisfaction and the company's overall operational success.


Responsibilities

  • Process and audit bi-weekly or monthly payrolls accurately and on time.
  • Manage employee payroll changes including deductions, benefits, and tax withholdings.
  • Ensure compliance with federal, state, and local payroll regulations and laws.
  • Coordinate with HR for new hires, terminations, and changes in employee status.
  • Resolve employee payroll inquiries swiftly, providing exceptional customer support.
  • Maintain payroll system updates to reflect changes in employment laws and policies.
  • Assist in the preparation of payroll reports, summaries, and statements for management.
  • Conduct regular reviews and audits of payroll procedures and guidelines.
  • Assist with year-end processes, including W-2 and other tax matters.
  • Maintain confidentiality and security of sensitive payroll information and data.
  • Liaise with finance to ensure proper reconciliation of payroll accounts.
  • Provide support during internal and external auditing processes as needed.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • Minimum of three years of experience in payroll processing or related functions.
  • Familiarity with payroll systems such as ADP, SAP, or similar platform essential.
  • Strong understanding of payroll principles, laws, and regulations mandatory.
  • Exceptional attention to detail with strong organizational and analytical skills.
  • Ability to manage confidential information with the utmost professionalism and discretion.
  • Excellent written and verbal communication skills, able to address employee concerns effectively.
  • Proficient in Microsoft Office Suite, particularly Excel, for reporting and data analysis.
  • Capability to work under pressure and meet tight deadlines consistently.
  • CIPP certification or similar professional credential is an asset but not necessary.
