Job Description

The Receptionist is a vital part of our organization, serving as the first point of contact for our clients, visitors, and staff. This role requires a professional and friendly demeanor to create an excellent first impression. You will provide general administrative support, manage front desk activities including assisting with inquiries, scheduling appointments, and handling correspondence. Additionally, efficient coordination with different departments within the company is essential to ensure smooth organizational operations. As a Receptionist, you will need strong organizational and communication skills and the ability to multitask in a fast-paced environment. You should be comfortable with utilizing office equipment and aware of basic IT systems to manage day-to-day tasks effectively.


Responsibilities

  • Welcome and greet all clients and visitors with a positive and helpful attitude.
  • Manage inbound and outbound phone calls efficiently and professionally.
  • Maintain reception area and all common areas in a clean and tidy manner.
  • Assist in coordinating front-desk activities, including distributing correspondence and redirecting phone calls.
  • Resolve customer inquiries and direct them to the appropriate department quickly.
  • Receive, sort, and distribute daily mail and deliveries with accuracy.
  • Schedule and coordinate appointments, meetings, and conference room reservations.
  • Support the administrative team with clerical tasks and various projects.
  • Monitor office supplies and place orders when necessary to ensure its smooth running.
  • Provide excellent customer service to our staff and external customers consistently.
  • Utilize and maintain office equipment including copiers, fax machines, and computers.
  • Ensure an adequate flow of information to the front desk for timely resolutions.

Requirements

  • High school diploma or equivalent education level required for application consideration.
  • Previous experience as a receptionist or similar administrative role preferred.
  • Excellent verbal and written communication skills mandatory for successful performance.
  • Proficiency in Microsoft Office Suite and basic computer skills necessary.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Professional appearance and a positive approach in handling various tasks.
  • Ability to work independently and as part of a team to achieve goals.
