Job Description

We are looking for a professional and friendly Receptionist to join our team and be the first point of contact for our office. The successful candidate will have exceptional communication skills and the ability to multitask in a fast-paced environment. As a Receptionist, you will manage our front desk, greet our guests, and ensure they feel welcomed and valued. You will also be responsible for answering and redirecting phone calls, receiving and distributing mail, and assisting with administrative tasks as required. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office premises.
  • Direct visitors to the appropriate person or department and address inquiries promptly.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Receive and sort daily mail, deliveries, and courier packages efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Update appointment calendars and schedule meetings when necessary.
  • Perform clerical duties such as filing, photocopying, collating, faxing, etc.
  • Assist with organizing office events, meetings, and conference calls.
  • Provide basic and accurate information in-person and via phone/email.
  • Ensure the reception area is tidy, presentable, and equipped with necessary stationery.
  • Support the administrative team with ad-hoc projects and tasks as required.
  • Monitor and manage office supplies inventory, placing orders when needed.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Hands-on experience with office equipment such as fax machines and printers.
  • Professional attitude and appearance with excellent communication skills.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Customer service attitude with a positive personality and a team player spirit.
  • High school diploma; additional certification in Office Management is a plus.
