About The Role

We are seeking a highly organized and detail-oriented Property Operations Coordinator to support the day-to-day management and operational efficiency of a growing property portfolio. This role is ideal for someone with strong property management operations experience, exceptional coordination skills, and advanced proficiency in AppFolio.

The successful candidate will serve as a key liaison between tenants, maintenance vendors, and the finance team to ensure smooth property operations and excellent service delivery.

Key ResponsibilitiesProperty Operations & Tenant Coordination

  • Manage the full lifecycle of tenant maintenance and service requests from intake through resolution
  • Coordinate with third-party maintenance vendors to ensure timely completion of repairs and work orders
  • Communicate effectively with tenants regarding service updates, timelines, and issue resolution
  • Monitor and track maintenance progress to ensure high service standards are maintained

Administrative & Reporting Support

  • Prepare and maintain monthly property reports
  • Track and manage insurance certificates and related documentation
  • Maintain accurate records and ensure operational documentation is up to date
  • Support internal process improvements and operational efficiency initiatives

Financial & Accounting Support

  • Assist with rent reconciliations and tenant billing processes
  • Perform monthly bank reconciliations for operating accounts
  • Coordinate closely with the finance team to ensure accuracy of financial records and reporting
  • Support general property accounting and administrative functions as needed

Qualifications

  • Strong proficiency in AppFolio is required
  • Previous experience in property management, property operations, or a related coordination role
  • Experience coordinating with tenants, vendors, and internal stakeholders
  • Knowledge of maintenance coordination and work order management processes
  • Familiarity with rent reconciliation, billing, and bank reconciliation processes
  • Strong organizational skills with excellent attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and Google Workspace

Preferred Qualifications

  • Experience supporting residential or commercial property portfolios
  • Background in property management accounting or operations administration
  • Experience working remotely or with distributed teams
