About The Job
The Knowledge Management Specialist is responsible for stabilizing, governing, and continuously improving HR knowledge assets to ensure consistent understanding, correct execution, and sustained compliance of HR processes and systems. This role focuses on bridging knowledge gaps across HR processes and HR systems, ensuring end-to-end documentation completeness (from Manuals to SOPs and Work Instructions), and embedding a strong governance and review framework for all HR process documents. The role also plays a critical part in facilitating learning and training activities to reinforce HR process compliance, close operational gaps, and continuously enhance employee knowledge across the organization.
What You’ll Do
- Knowledge Stabilization & Continuous Learning
- Act as the custodian of HR process and system knowledge , ensuring information remains accurate, current, and easy to understand.
- Identify recurring errors, process deviations, or user confusion and translate these into targeted knowledge updates or learning interventions .
- Drive a continuous learning mindset within HR and the business by proactively updating materials as processes evolve.
- Ensure knowledge materials support both new joiners and existing employees , reducing dependency on stock knowledge.
- HR Process & System Knowledge Gap Bridging
- Conduct regular knowledge gap assessments across HR processes and HR systems (e.g., Timekeeping, Payroll, Core HR, Employee Services).
- Translate complex HR processes and system logic into clear, practical, and user-friendly documentation .
- Work closely with HR Process Owners and HR Business Analysts to ensure process intent, system behavior, and user execution are aligned .
- Proactively surface gaps between documented processes and actual practice and drive corrective actions.
- Documentation Oversight & Standards
- Own the end-to-end documentation framework for HR, ensuring completeness across:
- HR Manuals
- Standard Operating Procedures (SOPs)
- Work Instructions (WI)
- Process flows, FAQs, and job aids
- Define and enforce documentation standards, templates, naming conventions, and version control .
- Ensure documentation is written in layman, employee-friendly language while remaining compliant and audit-ready.
- Maintain a centralized HR knowledge repository as the single source of truth.
- Governance, Review & Approval Management
- Establish and manage governance processes for the creation, review, approval, and retirement of HR process documents.
- Coordinate periodic document reviews with Process Owners, Legal, Compliance, and Risk (where applicable) .
- Track document validity, review cycles, and approval status to ensure no outdated or unapproved documents are in use .
- Support audit and compliance activities by ensuring document traceability and version history .
- Training Facilitation & Learning Enablement
- Develop and maintain an HR training calendar aligned with process updates, policy changes, and system enhancements.
- Facilitate or coordinate process and system training sessions , refresher courses, and knowledge-sharing workshops.
- Partner with HR and business stakeholders to design targeted learning interventions that address:
- Process non-compliance
- System misuse or errors
- Knowledge decay over time
- Support onboarding programs by ensuring new hires receive complete and up-to-date HR process training .
- Knowledge Dissemination & Adoption
- Ensure HR knowledge is accessible, searchable, and consumable across platforms (e.g., intranet, HR portals, knowledge bases).
- Promote adoption of documented processes through communications, learning nudges, and reinforcement activities .
- Gather feedback from end users to continuously improve clarity, usability, and relevance of knowledge materials.
- Measure knowledge effectiveness using agreed KPIs (e.g., reduction in errors, fewer tickets, faster issue resolution).
- Continuous Improvement & Best Practices
- Monitor the effectiveness of knowledge management initiatives and recommend improvements.
- Capture lessons learned and best practices from HR operations and embed them into documentation and training.
- Stay updated on knowledge management, learning, and documentation best practices relevant to HR and shared services environments.
What You Need To Have
- Minimum 5 years of experience in Knowledge Management, HR Documentation, Process Excellence, or Training Enablement.
- Experience working with HR processes and HR systems in an operational or shared services environment.
Technical & Functional Skills
- Strong knowledge of knowledge management principles and documentation lifecycle .
- Proven ability to create Manuals, SOPs, Work Instructions, and training materials .
- Experience managing document governance, version control, and approvals .
- Strong facilitation skills for training sessions and knowledge-sharing activities .
- Proficiency in content management systems and knowledge repositories.
