Your Role
Reporting & Documentation (SafetyCulture)
- Prepare and format service reports using SafetyCulture (formerly iAuditor)
- Review field reports for accuracy and completeness
- Upload photos, test results, and compliance documents
- Generate client-ready PDF reports and maintain digital filing systems
- Assist with compliance documentation and asset registers
Accounting & Xero Administration
- Prepare invoices in Xero for completed jobs
- Monitor accounts receivable and follow up on outstanding payments
- Process supplier invoices and match them with purchase orders
- Assist with expense tracking and job cost allocation
- Maintain accurate financial records
Email & Enquiry Management
- Manage the company inbox and respond to general enquiries using templates
- Escalate urgent or technical concerns to the director
- Organize email folders and maintain communication records
General Administrative Support
- Update spreadsheets and project tracking registers
- Assist with document formatting for proposals and scopes of work
- Support scheduling coordination and CRM/database updates as needed
What You Need
Non-negotiables
- Proven ability to format professional, client-ready reports and maintain organized digital filing systems.
- Experience processing supplier invoices, matching purchase orders, and managing accounts receivable.
- High-level written English for managing company inboxes and professional email correspondence.
- Demonstrated capability in auditing field reports for accuracy and compliance.
- Ability to manage high-volume email folders and maintain real-time project tracking registers.
Preferred Skills/expertise
- Hands-on experience with Xero (invoicing and AR) and Microsoft Excel/Google Sheets.
- Direct experience using SafetyCulture (iAuditor) for service reporting and inspections.
- Previous administrative experience in trades, construction, or compliance-heavy industries.
- Proficiency in Adobe Acrobat or Word for complex document formatting and proposal creation.
- Familiarity with basic CRM database entry and maintenance.
- Experience with coordination and calendar management for field staff or directors.
- A track record of working independently and flagging urgent technical issues proactively.
