Job Description

The Executive Assistant to the Head of People & Operations plays a crucial role in ensuring smooth day-to-day operations for the department and supports the Head in a wide variety of tasks. This position requires a high level of professionalism, excellent communication skills, and the ability to multitask effectively. The Executive Assistant will engage with various stakeholders within and outside of the organization, manage schedules, coordinate meetings, and handle confidential information with discretion. The successful candidate will be proactive, detail-oriented, and capable of anticipating the needs of the Head of People & Operations, thereby contributing to improving the overall efficiency of the department. This role requires someone who can thrive in a fast-paced environment and is willing to take on new challenges to support strategic initiatives in the human resources operations domain.


Responsibilities

  • Maintain an up-to-date schedule for the Head of People & Operations.
  • Coordinate meetings, including preparing agendas and recording minutes.
  • Manage travel arrangements and logistics for the department head.
  • Act as the primary point of contact for internal and external stakeholders.
  • Prepare and review documents, reports, and presentations on demand.
  • Ensure the confidentiality of sensitive and proprietary information.
  • Assist with HR-related projects and operational initiatives as needed.
  • Track and follow up on various pending business matters and projects.
  • Help develop and implement departmental procedures and guidelines.
  • Foster a positive work environment by supporting team building efforts.
  • Handle office administrative duties, including supply management and ordering.
  • Conduct research and provide insights to support strategic planning.

Requirements

  • Bachelor’s degree in business administration, human resources, or related field.
  • Proven experience as an executive assistant or relevant administrative role.
  • Exceptional time management skills and ability to meet tight deadlines.
  • Strong communication skills, both written and verbal, are essential.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and collaborative online tools.
  • Demonstrated ability to handle confidential and sensitive information.
