Job Description

As the Executive Assistant to the Head of People & Operations, you will play a critical role in ensuring the seamless operation of our leadership team. This role requires a proactive and highly organized individual who can manage a diverse set of administrative responsibilities while maintaining the utmost confidentiality. The successful candidate will be responsible for providing top-tier support, helping to streamline communications, coordinate busy calendars, and manage special projects. This position offers a demanding yet rewarding opportunity to work closely with senior leadership, contributing to the efficiency and effectiveness of our organization. As a trusted partner, you will need to anticipate needs, provide precise and timely assistance, and act as a key point of contact between the Head of People & Operations and other internal and external stakeholders.


Responsibilities

  • Manage and optimize the complex calendar and schedule of the Head of People & Operations.
  • Coordinate and organize meetings, conferences, travel arrangements, and itineraries.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Act as a liaison between the Head of People & Operations and internal or external stakeholders.
  • Screen and prioritize incoming communications and correspondence, relaying messages timely and accurately.
  • Conduct background research and compile data for reports, presentations, and other tasks.
  • Assist in managing budgets, expense reports, and financial documents efficiently and accurately.
  • Lead and execute special projects as assigned, ensuring timely and successful completion.
  • Maintain and organize comprehensive electronic and paper filing systems.
  • Ensure confidentiality of all privileged information related to the Head and the organization.
  • Develop and maintain relationships with external partners and vendors as needed.
  • Support the Head of People & Operations in strategic planning and execution of objectives.

Requirements

  • Bachelor's degree in Business Administration or related field is preferred.
  • Minimum of 3 years of experience as an executive assistant or in a similar role.
  • Exceptional organizational skills with high attention to detail and accuracy.
  • Excellent written and verbal communication skills are essential for this role.
  • Proficiency in Microsoft Office Suite and ability to learn new software quickly.
  • Strong ability to multitask and prioritize tasks in a fast-paced environment.
  • High level of professionalism and discretion in handling sensitive information.
