Position: Virtual Assistant

Location: 1880 Avenue Building, 1880 Eastwood Avenue Libis, Quezon City

Work setup & shift: Onsite | Night Shift

Job Summary

The Administrative Assistant plays a critical role in supporting the companys daily operations. This individual will manage various administrative tasks, ensure smooth operations, and assist in key areas such as case management, financial support, and internal communications.

  • Collect and submit Weekly Status Reports (WSRs) for all cases, ensuring accuracy and timely delivery.
  • Oversee and monitor the completion of Weekly Status. Reports for all active cases, tracking progress and identifying potential issues.
  • Help with downloading the cases.
  • Maintain and update personnel files, ensuring all documents are accurate, complete, and up-to-date.
  • Send financial information to the company accountant.
  • Help with payroll.
  • Assist with maintaining and updating the company website as needed.
  • Help with our learning management system.
  • Prepare and send the weekly Monday Message, ensuring all team members are informed and aligned.
  • Updating and Organizing files containing samples, ensuring easy access and proper record-keeping.
  • Make sure the investigators have their folders in order.
  • Ensure investigators have their folders properly organized and complete, supporting case preparation.
  • Additional Duties: Assist with other tasks and assignments as assigned

Qualifications

  • Fresh graduates are encouraged to apply.
  • A degree in Business Administration, Office Management, or a related field is preferred but not mandatory.
  • Strong organizational and multitasking skills
  • Attention to detail and accuracy
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Adobe Acrobat)
  • Basic understanding of payroll processes and financial document management
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team

Prior Experience

  • Prior experience in administrative or office duties is beneficial but not required. On-the-job training will be provided.
