Intake Specialist (Spanish Bilingual)

Role Overview

We are looking for Intake Specialist (Spanish Bilingual) to be part of our team.

  • He/She is the first point of contact for potential new clients. This role is crucial for delivering a warm, professional, and compassionate experience for individuals who have been injured and are seeking guidance.
  • He/She will handle intake calls, screen potential clients, gather key case information, coordinate with our legal team, and maintain ongoing client care from intake through the closing of the case. While this position does not require drafting legal documents, a strong understanding of the personal injury process is necessary.


Main Responsibilities

He/She shall perform duties and responsibilities including, but not limited to the following:

  • Intake and Lead Screening
    • Answer inbound calls from potential new clients in a professional and empathetic manner.
    • Conduct thorough intake interviews to gather essential facts about motor vehicle collisions, dog bites, premises liability, wrongful death, and other personal injury cases.
    • Identify qualifiers and disqualifiers based on firm criteria and Washington State personal injury standards.
    • Enter intake information accurately into the firms case management system.
    • Coordinate with the attorney or operations team for follow-up on high priority or urgent leads.
  • Client Care and Relationship Management
    • Serve as a consistent point of contact for clients from intake through case resolution
    • Maintain strong communication with clients regarding next steps, updates, and expectations.
    • Provide reassurance, clarity, and professionalism during stressful moments for clients.
    • Assist with client onboarding, scheduling, check-ins, and follow-up calls.
    • Nurture relationships, reinforce core values of Respect, Excellence, Service, and Transparency, and ensure clients feel supported throughout their case.
  • Collaboration and Team Support
    • Work closely with paralegals, the operations team, and attorneys to ensure smooth case transitions.
    • Provide internal updates regarding new intakes and client concerns.
    • Participate in team meetings and contribute to improving intake processes and client care systems.
    • Receive feedback openly and implement improvements quickly and consistently.
  • General Administrative Responsibilities
    • Maintain accurate intake logs and trackers.
    • Assist with sending follow-up messages, reminders, and coordination tasks as needed.
    • Ensure all communications align with firm protocols and confidentiality requirements.
  • Other tasks as may assigned.

Requirements

  • Minimum of one year experience in personal injury intake or client services, preferably with U.S. law firms.
  • Bilingual in English and/ or Spanish.
  • Strong fluency in English with clear verbal communication.
  • Knowledge of personal injury processes, case flow, and terminology.
  • Familiarity with Washington State personal injury matters is preferred.
  • Excellent listening skills, empathy, and professionalism when speaking with injured clients.
  • Strong attention to detail and accurate data entry.
  • Demonstrated reliability, integrity, and ability to maintain client confidentiality.
  • Ability to follow established systems while adapting to feedback.
  • Strong teamwork mindset and willingness to collaborate closely with a remote and in-office team.
  • Experience working with clients who have suffered injuries, trauma, or emotional distress.
  • Familiarity with Smart Advocate or similar case management software.
  • Experience working in a remote legal support environment.
  • Must be flexible to work night shifts (subject to change)
  • Must be available to work on-site at Zeta Tower, Bridgetowne.
