Provide timely, accurate and professional administration coordination and support to the Human Resources (HR) and Recruitment team. Specific focus will be on the completion of administrative HR activities including general correspondence, recruitment correspondence, new starter administration, coordination of appointments and meetings for interview, and other activities as required.

Recruitment – end to end support & coordination
- Collaborate with hiring managers to understand staffing needs and develop effective recruitment strategies.
- Source and attract candidates through various channels, including job boards, social media, networking events, and referrals.
- Candidate management, including resume review and initial screening against job profile
- Screen resumes, conduct interviews, and assess candidates to ensure alignment with job requirements and organizational culture.
- Tracking recruitment activity across the business
- Utilise recruitment metrics and analytics to track performance and optimize strategies for talent acquisition and program effectiveness.
- Develop and implement attraction strategies and early career programs to engage with students, graduates, and emerging talent.
- Coordinate recruitment events, career fairs, and internship programs to showcase Grosvenor as an Employer of Choice.
- Develop and create talent pools while managing the employer brand to ensure it is represented at all times.
Onboarding & New Starter Administration
- Preparation and distribution of Contracts of Employment
- Compilation and distribution of New Starter Information packs
- Ensure all New Starter paperwork has been received and saved in employee Personnel file
- Set up for National Police Check Process
- Completing New Starter System Set Up in ELMO, ARMS, Secure ARMS and HR3
- Communicating with Managers, Branch Administrators and the relevant departments to commence New Starter Form completion on the Intranet
- New Starter Auditing ensuring required documentation and licences has been received by HR
- New Starter One Month Check Ins
Offboarding Administration
- Email communication with the relevant managers and departments to commence the offboarding process
- Preparation of Asset Lists
- Completing required system changes for offboarding in ELMO, ARMS and HR3
General HR System Administration
Responsible for assisting the Human Resources team with HR system administration and reporting, including but not limited to:
- Management of the team Inbox
- Saving all employee related documentation in personnel files
- Preparation and distribution of salary review and employment change letters
- Ensuring probation reviews are completed and preparation of probation review letters
- Assisting in photocopying and filing
- Identifying opportunities to improve employee/candidate experience
Learning and Development Administration
- Assisting with apprenticeship and work experience documentation and filing
- Booking and coordination of external training bookings
- Uploading of attendance registers and records into ARMS
- Scheduling attendees for Internal training sessions
- Preparation of training materials
Other Responsibilities
- Development and maintain an understanding of Grosvenor Engineering Groups business operations, culture and objectives
- Act in a manner consistent with the Grosvenor values.
- Build sustainable, professional relationships with key stakeholders at various levels, championing workplace harmony
- Contribute to HR through research, development and continuous improvement strategies

WORK EXPERIENCE & SKILLS
Previous experience working in Recruitment/HR administration role (3+ years), supporting a small team, producing and managing high volumes of paperwork, preferably in the HVAC, Fire, engineering or construction industry.
Previous experience in a position requiring high ethical standard of conduct, including the ability to maintain a strict code of confidentiality and to exercise sound discretion.
Proficiency in applicant tracking systems (ATS) and other recruitment tools.
Advanced computer skills (data entry, database management etc)
Desirable
Previous experience with high volume, end to end recruitment, ideally gained in a service-related industry including:
- Sourcing and attraction
- Selection (interviews, reference checks etc.)
- Onboarding
- General HR Administration
Experience with various sourcing tools – LinkedIn, Social Media, Seek etc.
Experience with (or exposure to) creating talent pipelines and pools
