HR Admin Associate provides administrative support to Human Resources and Administration functions by managing company assets, facilities, utilities, and administrative resources, while ensuring efficient office and site operations in compliance with company policies.
Key Duties & Responsibilities
Company asset Management
Maintain and update the inventory of company assets, including office furniture, ACUs, office equipment, and other administrative assets.
Monitor the issuance, transfer, maintenance, repair, and disposal of company assets.
conduct periodic physical inventory and ensure accurate asset records.
Monitor and facilitate company maintenance activities, including air-conditioning units (ACUs), pest control, and other facility maintenance requirements.
Utilities Management
Monitor monthly utility consumption and billing (e.g., electricity, water, internet, and telecommunications).
Coordinate with finance and service providers regarding utility payments and related concerns.
Prepare utility monitoring reports and recommend cost-saving measures when applicable.
Monitor and coordinate the monthly general cleaning of the office building to ensure a clean, safe, and organized work environment.
Site Barracks Audit
Conduct regular audits of project site barracks to ensure compliance with the company standards on cleanliness, safety, and maintenance.
Document audit findings and coordinate corrective actions with the concerned project teams.
Office Supplies Management
Process and Coordinate purchase requests and oversee the issuance of office supplies.
Maintain updated records of office supplies and inventory, ensuring adequate sticks levels and timely replenishment.
Building Facilities and Maintenance
Monitor the condition of the Head Office, including facilities, equipment, and common areas.
Coordinate preventative maintenance and repair works with contractors and service providers.
Ensure office facilities remain safe, functional, and well-maintained.
Administrative Support
Prepare and maintain administrative reports, records, and documentation.
Coordinate administrative requirements with internal departments, project sites, and external service provider.
Ensure compliance with company administrative policies and procedures.
Perform other HR and Administrative duties as assigned by the HR & Administration supervisor or Department Head.
Qualifications
Education
At least a High School Graduate; a Bachelor degree is an advantage but not required.
Skills and Competencies
At least one (1) year of experience in human Resources, Administration, Facilities Management, or a related field is an advantage.
Knowledge of asset management, office administration, facilities maintenance, and inventory control.
Familiarity with utility monitoring, office supply management, and vendor/service provider coordination
Knowledge of performing basic repairs; NCII certification is an advantage but not required.
Proficient in Microsoft Office Applications, particularly Microsoft Excel, Word, and PowerPoint.
Strong organizational, documentation, and record-keeping abilities.
Ability to manage multiple task, prioritize work, and meet deadlines with minimal supervision.
Willing to conduct site visits, inspections, and audits as required.
