The Legal Support Specialist provides high-level technical and administrative support to the Chief IP Counsel and the broader REPH Legal Affairs Department (LAD). This role is responsible for the lifecycle management of Intellectual Property, data integrity within legal databases, and supporting cross-functional Compliance and Data Security initiatives.
Key Accountabilities
Intellectual Property Management
Patent Lifecycle: Coordinate the workflow from invention disclosure to issuance; monitor submissions and act as the primary liaison with outside patent counsel.
Annuity & Award Management: Oversee patent annuity payments via third-party providers and manage the internal patent award program for employees.
Trademark Portfolio: Manage internal trademark license agreements and facilitate execution of IP-related contracts. Provide portfolio support for global entities, including maintaining shadow dockets for independently managed portfolios.
Enforcement: Facilitate the filing and tracking of DMCA Takedown Notices to protect the company’s digital assets.
Legal Operations & Data Analytics
Database Administration: Serve as the lead for IP record integrity, performing regular audits and “clean-ups” of records related to disputes, trademarks, and technology classifications. Manage technical issues regarding the IP system, Anaqua and address and serve as initial technical support as needed.
Reporting & Visualization: Utilize tools such as Power BI and PowerApps to develop, maintain, and update IP dashboards. Perform data analysis on Patent and Trademark portfolios to track status and trends. Provide data content and other support for the compilation of the Annual IP Report, and other reports as required.
Financial Oversight: Conduct budget and expense analysis for the IP portfolio to ensure alignment with department fiscal goals. Assist with processing invoices and following up with AP, the RELX Finance team or applicable service providers to ensure payment and address any invoicing issues.
Knowledge Management: Design, develop, and maintain the Legal SharePoint page, including the updating of IP Guidelines.
Compliance & Data Security Support
Contract Mapping: Support Data Security by reviewing key clauses (security measures, breach notifications, liability) and maintaining the master mapping document.
Information Governance: Manage employee preservation holds and ensure the RELX company roster is updated monthly for compliance tracking.
Ad-hoc Compliance: Execute specialized tasks as directed by the Compliance team to mitigate corporate risk.
Qualifications
Educational Background: Bachelor’s degree in legal or equivalent field
Technical Skills: Proficiency in Patent Management Software, SharePoint design, Power BI, and PowerApps.
Analytical Mindset: Ability to translate complex legal data into actionable reports and budget insights.
Ability to quickly learn and apply enterprise AI tools and technologies to support technical workflows and business objectives
Detail Orientation: High level of accuracy in contract review and database management.
