Job Overview

We are looking for an AI Automation and Workflow Specialist to help document, test, improve, and roll out practical AI-assisted workflows across the organization. The role will focus on using Microsoft 365, Copilot, Copilot Studio, and other AI and automation tools to improve business processes, organize company knowledge, and create practical solutions for teams across the business.

The ideal candidate is someone who understands AI automation and workflow design and can translate business needs into practical, scalable solutions. This role will work closely with client leadership and external technical partners to support AI initiatives and identify opportunities for further automation. The initial focus will be working with the company bookkeeper to understand and improve accounting, billing, receipt, invoice, reporting, and related office workflows. The role will expand into other business workflows over time.

Schedule: Monday to Friday | 8:00 AM to 5:00 PM | Pacific Time (PST)
Holiday: Follows WES Constructions U.S. holiday schedule: New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, the day after Thanksgiving, and Christmas Day

Responsibilities

  • Support the implementation, testing, documentation, and rollout of AI-assisted workflows across the organization.
  • Support the development and implementation of Microsoft 365 Copilot and Copilot Studio solutions.
  • Design, test, and improve AI-assisted workflows and automations based on business requirements.
  • Document existing and new workflows, and create SOPs, user guides, prompts, instructions, and training materials for AI-assisted processes.
  • Identify opportunities to automate repetitive processes and improve operational efficiency.
  • Develop role-specific AI solutions, instructions, prompts, agents, and knowledge resources for different teams.
  • Work with SharePoint and other Microsoft tools to organize and structure company knowledge and information.
  • Coordinate with WES leadership and external technical partners when workflow, integration, or system changes are required.
  • Support AI integration across business processes involving project setup, documentation, communications, scheduling, reporting, and project administration.
  • Assist with AI use cases such as:
  • Creating and populating project records.
  • Extracting project, owner, consultant, contract, and contact information.
  • Creating project lists, folders, records, and workflows.
  • Drafting and distributing notices.
  • Assisting with email communications.
  • Scheduling work and coordinating notices.
  • Summarizing meetings and tracking action items.
  • Preparing weekly project updates.
  • Supporting RFIs, submittals, change orders, and field documentation.
  • Summarizing project documents and correspondence.
  • Supporting reporting, project closeout, and follow-up activities.
  • Explore and recommend additional AI automation opportunities as the companys AI strategy evolves.
  • Test AI workflows and solutions to ensure they are practical, reliable, and aligned with business needs.
  • Train superintendents, foremen, project managers, and office staff on newly implemented AI tools and workflows.
  • Provide ongoing maintenance, improvements, and support for AI solutions after implementation.
  • Stay current with emerging AI tools and identify technologies that may benefit the organization.

Qualifications

  • Bachelors degree in Computer Science, Information Technology, Business, Engineering, or a related field is preferred.
  • Experience in AI automation, workflow automation, business process automation, or a related field.
  • Working knowledge of Microsoft 365. Familiarity with any of Copilot, Copilot Studio, SharePoint, Power Automate, Power Apps, or Dataverse is helpful; expertise in all of them is not expected.
  • Experience with Microsoft Copilot, Copilot Studio, or similar AI platforms is preferred.
  • Strong understanding of workflow and process design.
  • Experience using AI tools such as ChatGPT, Claude, or similar platforms.
  • Ability to understand business requirements and translate them into practical AI or automation solutions.
  • Strong analytical and problem-solving skills.
  • Strong communication and collaboration skills.
  • Ability to train users and explain technical concepts in a practical, easy-to-understand manner.
  • Willingness to work with evolving technologies and learn new AI platforms.

  • Experience with Power Platform.
  • Experience with Power Automate or Power Apps.
  • Experience with SharePoint.
  • Experience with Dataverse or similar data platforms.
  • Experience in knowledge management or centralized knowledge systems.
  • Experience building AI agents, bots, or AI-powered business workflows.
  • Experience in construction, project management, or other operational environments.
