Job Overview
The Senior Business Analyst (Technical) will lead both business analysis and technical implementation activities for the EDRMS rollout across departments and field offices. The role combines business analysis expertise with hands-on SharePoint administration to support the adoption of SharePoint Online as the institutions records management platform.
Scope Of Work / Responsibilities
Strategic Planning & Engagement
Support the phased rollout of EDRMS as outline with the departmental rollout plan
Engage with departmental sponsors and focal points to confirm readiness, site structures, and pre-work requirements
Support kick-off meetings and wrap-up sessions with stakeholders
Business Process Analysis
Review existing SharePoint sites and departmental file plans to establish baseline site structures
Analyze workflows related to records declaration, disposition, and governance
Document business requirements for libraries, folder structures, and permission models
Design & Implementation
Design and validate workflows for site creation, metadata tagging, and records lifecycle management
Ensure alignment with Records Management standards and institutional policies
Support configuration of read-only transitions for legacy sites and go-live handovers
Design SharePoint sites aligned with records lifecycle requirements
Technical Support & Administration
Configure SharePoint Online sites, libraries, lists, and permissions based on approved structures
Administer content types, retention labels, and site policies to support EDRMS requirements
Assist in implementing and testing Power Automate workflows for document lifecycle and approvals
Support integration with third-party tools
Troubleshoot issues related to provisioning, workflows, and permissions; coordinate with IT for escalations
Monitor site performance, storage, and adoption metrics, and recommend improvements
Maintain technical documentation and provide knowledge transfer to department focal points
Adoption & Change Management
Support EDRMS training on Records Management and SharePoint
Assist in briefings, workshops, and coaching sessions to ensure adoption and compliance
Monitor rollout progress through reports and regular check-ins
Documentation & Reporting
Maintain documentation of rollout activities, site structures, and stakeholder feedback
Contribute to solution design inputs and change requests related to EDRMS
Track and report rollout milestones, risks, and mitigation plans
Requirements And Qualifications
Education & Experience
Minimum 5 years of experience in business analysis, preferably in records management or SharePoint-based systems
Strong understanding of digital records lifecycle, retention policies, and metadata governance
Experience with AO 4.08 or similar records management frameworks
Proven experience in workflow design, documentation, and stakeholder coordination
Technical Skills
Proficiency in SharePoint Online administration
Experience with Power Automate and workflow tools
Familiarity with AvePoint products or similar solutions
Strong analytical, problem-solving, and communication skills
