Title: Recruitment Support Officer

Reports to: Operations Manager

Location: Trojan Recruitment Group Branch

Works with: Clients, Candidates and Internal staff

STATEMENT OF OVERALL RESPONSIBILITY

The Recruitment Administrator is responsible for providing vital administrative support to both Recruitment Consultants and Account Managers in order to assist them in the delivery of effective recruitment solutions and maintenance of valuable business relationships with clients and candidates.

This Position Description represents the specific responsibilities, values and daily habits essential to perform the position as well as the performance review measures used to assess performance.

This Position Description along with the Trojan Way are referenced in the Trojan Connect Performance Review process.

Essential Skills / Experience

  • One (1) year minimum experience in similar administrative role
  • Excellent communication and relationship skills
  • Ability to work under pressure and within deadlines
  • Accuracy and attention to detail
  • MS office, database and social digital media experience

Desirable Skills

  • Experience in recruitment industry
  • Vocational training
  • Practical experience with/ exposure to HR, IR and WHS systems and processes

THE DUTIES

Key Responsibilities

PERFORMANCE REVIEW MEASURES (KPI’S)

Trojan Way

  • Full understanding, promotion and adherence to the Trojan Way, Charter, Purpose and Values.
  • Adherence to the Trojan Way and all Trojan Management System policies and procedures

Recruitment and Candidate Support

  • Provide administrative support to Consultants in the candidate application process. This includes and is not limited to:
  • Placement and management of Job Advertisements and applicants on Job Adder/Job Boards/Social Media in accordance with Trojan Recruitment Group operating procedures
  • Sourcing and pooling candidates via job boards and various social media streams including LinkedIn etc.
  • Interviewing, screening, assessing, referencing checking and conducting inductions of candidates in accordance with Trojan Recruitment Group operating and WHS procedures
  • Filling temporary and permanent based job orders in compliance with Trojan Recruitment Group operating procedures
  • Participate in Afterhours roster and all related duties
  • Ensure all client recruitment expectations and services managed and met
  • Data entry into internal database called Cobweb with all relevant Candidate, Client and job details including actions taken with relevant comments.
  • Job Advertising is in line with Trojan Recruitment Group Online Job Ad Procedures
  • Candidate Files identify zero Non-conformances in Trojan Recruitment Group Internal Quality Audits
  • Cobweb is updated and records maintained

Account Management and Client Support

  • Provide administrative support to Account Managers in relation to client services. This includes and is not limited to:
  • Collating and preparing information for Clients such as preparation of marketing material and distribution.
  • Presentation and delivery of marketing material in line with Trojan Recruitment Group corporate branding requirements.

Payroll Support

  • Provide support as required. This may include:
    • Collecting and reviewing timesheets.
    • Processing timesheets using timesheet recording systems, internal and external.
    • Rostering of staff using rostering systems
    • Use of Payroll systems, internal and external.
    • Communicating with candidates and clients.
    • Timesheets are processed accurately and in a timely manner.
    • Rostering staff to meet client specifications.

    Work Health and Safety (WHS)

    • Full understanding, promotion and adherence to Trojan Recruitment Group WHS policies and procedures
    • Ensure candidate and clients are made aware of our commitment to WHS and that the safety of our people is our priority
    • Work Health and Safety related responsibilities including Candidate’s screening, inductions etc.
    • Adherence to Trojan Recruitment Group WHS Policies and Procedures

    Reporting

    • All activity to be recorded in Cobweb
    • Complete weekly and monthly Reports as required
    • Provide relevant market and competitor information to State Manager and local team
    • Report sales and new business opportunities and relevant client and candidate information in branch meetings.
    • Cobweb records maintained and up to date
    • Reporting deadlines met

    Effective participation and sharing of relevant information about clients, candidates and new business opportunities within the branch

    • Adherence to the Company Code of Conduct
    • Ensure all activities comply with relevant statutory and regulatory requirements, legal demands and professional and ethical standards
    • Uphold strict confidentiality, in accordance with Company Policies and Privacy Legislation, when dealing with sensitive information and stakeholder’s personal, financial and business details
    • Behave in an appropriate and professional manner towards candidates, employees, managers and clients. This extends to the appropriate use of IT which includes social media.
    • No breaches of Company Code of Conduct
    • Strict adherence to privacy and confidentiality requirements – no breaches of policy and contractual obligations
    • Compliance with company policies and procedures
