Fleet Coordinator

Job Description

We are looking for a dependable, organized, and detail-focused Dispatch Coordinator to oversee and support day-to-day shipping and delivery activities. This role will be responsible for monitoring shipment progress, coordinating delivery schedules, communicating with drivers and logistics partners, and ensuring that orders are dispatched and delivered correctly and within the expected timeframe.

The successful candidate should be proactive, highly organized, and comfortable managing multiple shipments and resolving operational concerns in a fast-paced work environment.

Key Responsibilities

• Oversee and monitor daily dispatch, shipping, and delivery activities.
• Track shipments from dispatch through final delivery and provide accurate status updates.
• Review delivery schedules and proactively identify possible delays or issues.
• Coordinate closely with drivers, couriers, carriers, warehouse personnel, and customers.
• Follow up and take appropriate action on delayed, missed, damaged, incomplete, or problematic shipments.
• Work with the warehouse team to confirm that orders are complete, accurate, and prepared for dispatch.
• Maintain and update shipment details, tracking information, and delivery statuses in internal systems.
• Ensure shipping documents, records, and related information are complete and accurate.
• Respond to customer inquiries and provide updates regarding shipment and delivery progress.
• Handle routine transportation and delivery concerns and escalate urgent or complex issues to the appropriate personnel.
• Prepare daily dispatch, shipping, and operational reports as required.
• Monitor shipping and delivery performance and ensure established company processes and procedures are consistently followed.
• Perform other logistics, dispatch, and operations-related tasks as assigned.
  
  

• College graduate.
• Previous experience in dispatch, logistics, shipping, transportation, or operations is an advantage.
• Strong planning, organizational, and time-management abilities.
• Excellent verbal and written communication skills, with strong follow-through.
• High level of accuracy and attention to detail.
• Capable of handling and monitoring multiple shipments, schedules, and tasks simultaneously.
• Basic computer proficiency and working knowledge of Microsoft Office or Google Workspace.
• Familiarity with shipping, inventory, transportation, or logistics management systems is a plus.
• Able to work effectively with minimal supervision while also contributing positively to a team.
• Comfortable working under pressure and in a fast-paced operational environment.
