Job Description
The Digital Workplace Specialist plays a key role in advancing the adoption, usability, and continuous improvement of WVI’s Microsoft 365 and collaboration platforms. Reporting to the Digital Workplace Lead, this role collaborates closely with the Digital Adoption Specialist, Global Technology Services (GTS), and Enterprise Architects to ensure digital tools are practical, inclusive, and effective for a globally distributed workforce.
As a bridge between strategic direction and hands-on execution, the Specialist drives user experience improvements by coordinating pilots, gathering actionable feedback, and enabling platform enhancements based on real-world insights. The role supports roadmap delivery, translates governance policies into user-friendly guidance, and monitors platform usage to shape training and adoption efforts. This position helps ensure WVI’s digital workplace is intuitive, empowering, and aligned with business priorities.
Key Responsibilities
- Plan and run pilots/user tests; synthesize insights to inform roadmap and experience changes.
- Create/maintain personas, journey maps, and experience roadmaps that guide improvements.
- Build enablement assets (guidelines, templates, FAQs); align with governance and service lifecycle.
- Track usage/adoption metrics (Admin Center, Viva Insights, surveys) and publish decision-ready reports.
- Act as the day-to-day liaison with GTS & Architects on platform readiness and experience configuration.
- Deliver demos/workshops and support regional champions to scale enablement and feedback loops.
Required Qualifications
- Strong hands-on knowledge of Microsoft 365 user experience (Teams, SharePoint, OneDrive, Outlook).
- Proven experience in user training/adoption/change management for digital tools.
- Excellent communication and stakeholder engagement across cultures; user-centric mindset.
Preferred
- 5+ years in digital workplace/UX/adoption roles; nonprofit/federated org experience a plus.
- Familiarity with Viva Insights/Admin portals and service lifecycle governance practices.

Continuation Of Key Responsibilities
User Enablement & Experience Design
- Contribute to the development of personas, user journeys, and digital workplace experience roadmaps
- Translate user feedback and behaviour into actionable platform improvements and enablement strategies
- Design and deliver initiatives that improve collaboration, productivity, and tool satisfaction across regions
- Own the development and refinement of personas and user journey maps to inform experience roadmaps and guide prioritization of platform improvements.
Adoption Strategy & Performance Insights
- Support analysis of usage patterns, adoption metrics, and user feedback via tools like Microsoft Admin Center, Viva Insights, and surveys
- Collaborate with the Digital Adoption Specialist to define adoption goals, training needs, and communication plans
- Track impact of adoption campaigns and provide recommendations for continuous improvement
- Act as a cross-functional liaison between Adoption, Governance, and Technical teams to ensure that user behaviour, adoption campaigns, and platform governance are aligned and mutually reinforcing
- Use usage and engagement data from Microsoft platforms to create insightful reports that support decision-making for roadmap planning and user adoption efforts.
Collaboration with Technical Teams (GTS & EA)
- Act as the primary point of contact for GTS and Architects on experience configuration, platform readiness, and user feedback translation
- Ensure that technical platform configurations align with defined user needs, usability principles, and adoption goals
- Contribute persona insights and user journey data to inform roadmap validation, Teams/SharePoint structure, and governance design
- Coordinate user testing and pilot programs to support roadmap execution — including feature experimentation, qualitative feedback collection, and experience validation — ensuring platform changes are user-informed and deployment-ready.
Platform Enablement & Governance
- Contribute to the creation of guidelines, templates, and best practices that promote effective and consistent use of digital workplace tools
- Help maintain user-facing documentation, FAQs, and support materials in alignment with governance models
- Ensure service lifecycle and adoption milestones are tracked and integrated with wider TBM and service governance frameworks
Training & Knowledge Transfer
- Contribute to training materials, videos, and learning pathways tailored to different user groups
- Run demos, workshops, and community sessions to onboard staff onto new or underutilised tools as needed
- Partner with regional champions to support local enablement and feedback loops
