WHAT IS A SCHEDULER?
Our awesome client, a growing multi-trade maintenance and field-service company operating across Queensland, Australia, is looking for a Scheduler to be part of their Operations Team.
As a Scheduler, you will play a key role in coordinating day-to-day maintenance operations by managing client requests, scheduling technicians and subcontractors, and ensuring urgent jobs are actioned promptly. You will be the first point of contact for clients and team members while keeping schedules organised, technicians productive, and clients informed throughout the job lifecycle.
WHAT WILL BE YOUR MAIN RESPONSIBILITIES?
Handle a high volume of inbound calls from clients and team members as the first point of contact.
Receive, understand, and accurately record client service requests.
Translate service requests into appropriate scheduled work and allocate jobs to the relevant technicians or subcontractors.
Identify urgent and reactive maintenance requirements and escalate critical jobs as necessary.
Build, manage, and optimise daily schedules to maximise technician productivity and minimise unnecessary travel time.
Coordinate multiple technicians, tradesmen, and subcontractors across a busy and constantly changing job board.
Monitor job progress and make scheduling adjustments when priorities, technician availability, or job requirements change.
Communicate with clients throughout the service process, from job allocation through to completion.
Provide timely updates regarding technician attendance, job progress, and completion.
Follow up on outstanding jobs and ensure scheduled work is progressing as expected.
Maintain accurate scheduling, job, and customer information within relevant systems.
Support safety and compliance requirements, including job tagging and subcontractor documentation.
Ensure relevant subcontractor information and compliance documentation are maintained and up to date.
Assist with general administration and other scheduling or operational tasks as required.
Work closely with the operations team to identify scheduling issues and implement practical solutions.
WHAT ARE WE LOOKING FOR?
At least 2 years of experience in scheduling, coordination, dispatch, workforce coordination, or a similar role.
Experience working in a fast-paced environment with a high volume of calls, requests, and administrative tasks.
Strong attention to detail with the ability to maintain accuracy while managing repetitive and time-sensitive work.
Excellent organisational and time-management skills.
Confidence in prioritising competing tasks and allocating resources based on urgency, availability, and requirements.
Strong communication and interpersonal skills, with the ability to communicate effectively with clients, technicians, subcontractors, and internal teams.
A calm and professional approach when working under pressure.
A proactive, solutions-focused mindset with the ability to anticipate and resolve scheduling issues.
Strong problem-solving and decision-making skills.
Ability to quickly learn new systems, software, processes, and workflows.
Solid MS Office skills.
Ability to work independently while also contributing effectively as part of a team.
A trustworthy, dependable, and accountable approach to work.
NICE TO HAVE
Previous experience in construction, building, maintenance, facilities management, or field-service industries.
Familiarity with Simpro, ServiceM8, ServiceMate, or similar field-service management platforms.
Experience coordinating technicians, tradesmen, contractors, or subcontractors.
Exposure to HSEQ, safety, or compliance processes.
A tertiary qualification in Project Management, Operations Management, Business, or a related field.
