Job Description

Provide administrative and logistical support on the following duties:

  • Annual/Monthly calendar activity of Maintenance & Repairs, special events
  • Workplace Engage training & engagement
  • Draft communication (viva engage, memo, business correspondence and presentation)
  • Supports the Administrator in the creation of monthly report (extraction of tracking activities), survey & feedback
  • Coordination of regulatory requirements for building inspection permit, fire safety inspection
  • certificate, barangay clearance, MPEEF preventive maintenance certificates, WEM, Optical Media
  • Board Certification, Import & Export Certification. etc.
  • Filing and archiving of documents (contracts, service reports, regulatory etc.)
  • Maintain records of facilities operations, including the status of ongoing work and completed tasks
  • Updating of ISO 27001 documentation for audit
  • Updating of Carbon footprint & Sustainability efforts
  • Process gate pass/work permit
  • Distribution of supplies to other departments
  • Process courier/mail and cargo services (Import/Export)

Inventory/Asset Management (Active, Non-active, Disposal)

  • Office inventory and assets (tagging workstations, assets)
  • Key Management
  • Storage Inventory (offsite)

Space Management

  • Update location/seating assignment of various department
  • Vendor Management (Corporate & Residential)
  • Coordinate & create calendar MPEEF preventive maintenance & repair and other Workplace activities (annual/monthly), ensuring compliance with safety regulation
  • Respond to emergency situations or disruptions of services and facilities
  • Manage vendor contact details and regular safety training with HSE
  • Monitor the accuracy of service reports ensuring all recommendations/comments are addressed
  • Engage on quarterly/monthly catch-up meeting with various vendors and other departments
  • Coordinate with Property Management Office on parking, soft & hard services activities.

Logistics and Adhoc activities

  • General Support In Travel Inquiries (Click Travel)
  • Support office, storage, residential (Move in/Move Out/Relocations)
  • Disposal of hazardous and non-hazardous
  • Support in the transportation/shuttle service schedule (rotation)
  • Special engagements (launching of REWS brand, new product & service to offer, training & developments)
  • Support BCP & Emergency Preparedness - distribution of essential kits, hotel accommodation, grab code
  • Support coordination in the office fit out, office renovations/modification etc.

Messenger Services

  • Monitor the itinerary and tracks the accuracy of delivery/pick up of documents or parcels.

Housekeeping Services/General Comprehensive Cleaning

  • Regular catch up to ensure the efficiency of cleanliness & safety are met

Qualifications

  • Minimum of a bachelors degree and equivalent of at least 3-5 years facilities management and administrative experience medium to large corporate properties.
  • Knowledge and experience in workplace/facilities by maintaining the ff. mechanical, electrical, electronics, plumbing and fire, contract and procurement, vendor management, budgetary, logistics, property insurance,
  • BIR rulings, building and fire safety permits, real estate taxes, Pasays local engineering regulations and compliance procedures.
  • Attention to detail and ability to work effectively under pressure.
  • Very good planning and organisational skills
  • Strong analytical skills to monitor and report on issues.
  • Excellent verbal and written communication skills.
  • Effective collaboration and coordination skills to work with cross-functional teams and external partners.
  • Experience in a fast-paced, high-volume environment with customer resolution focus.

Additional Information

  • 3-5 years of experience with managing medium to large scale of corporate properties.
  • Fluent in English – written and spoken to an excellent standard.
  • Strong knowledge and use of Microsoft Office: Word, Excel, PowerPoint, Project Management.
  • Strong organization, planning skills and project management.
  • Strong decision-making and problem-solving skills and can work with minimum supervision
