Job Description

The Sales Support Specialist will play a crucial role in supporting the sales team by handling non-revenue-generating activities, ensuring the team remains focused on selling. This role functions as both a sales enabler and data strategist, providing timely, accurate information to improve decision-making on pricing, discounts, contract structuring, and SLAs. The position will also ensure alignment between Sales, Operations, and Finance by maintaining accurate records, reports, and administrative processes that impact commercial outcomes.

Duties And Responsibilities

Sales Administration & Coordination

  • Handle all non-revenue generating administrative tasks for the Sales Team (e.g., documentation, filing, scheduling, monitoring).
  • Ensure accuracy and timely encoding of data in CRM systems (e.g., HubSpot, Salesforce).
  • Prepare and manage client-related documents: proposals, quotations, contracts, MOUs, NDAs, and other commercial agreements.
  • Support in processing approvals for pricing, discounts, and contract terms in coordination with relevant departments (Finance, Legal, Operations).
  • Manage and maintain updated records of all client accounts, contracts, and related documentation.

Sales Reporting & Analytics

  • Consolidate and maintain accurate records of sales activities, leads, pipeline status, and closed deals.
  • Generate and distribute weekly, monthly, and quarterly sales reports, highlighting key performance metrics and trends.
  • Analyze sales data to provide insights and recommendations on pricing, discounts, customer behavior, and conversion trends.
  • Provide sales forecasts based on pipeline data, historical performance, and market analysis.
  • Identify gaps, risks, and opportunities within the sales funnel and recommend corrective actions.

Sales Enablement & Strategy Support

  • Support the Sales Team with tools, materials, and information needed to improve performance (pitch decks, case studies, proposals templates, etc.).
  • Provide market intelligence, competitor analysis, and industry updates relevant to sales strategies.
  • Maintain a repository of up-to-date sales collateral and customer-facing materials aligned with current offerings and value propositions.
  • Assist in refining lead qualification processes and improving conversion through better targeting and prioritization.

Process Improvement & Compliance

  • Identify inefficiencies in current sales workflows and recommend process improvements to increase productivity and accuracy.
  • Ensure compliance with internal policies for pricing, discounting, contracting, and SLAs.
  • Standardize reporting templates and processes to align with company policies and management reporting needs.

Internal Coordination & Communication

  • Serve as the point of coordination between Sales, Marketing, Finance, Operations, and Customer Support for anything related to contracts, SLAs, pricing, and approvals.
  • Facilitate clear, organized communication of sales requirements to internal stakeholders, ensuring expectations are aligned.
  • Assist in preparation of materials for internal reviews, business updates, and management reporting.

Additional Support Functions

  • Support onboarding of new Sales Team members by providing tools, systems access, and training on administrative procedures.
  • Help organize internal sales meetings, trainings, and strategy sessions, including documentation of minutes and action items.
  • Perform other related tasks as may be assigned by the Sales & Marketing Director to improve overall sales effectiveness.
