Your Role

As an AU Property Management Assistant, you are responsible for:

Financial Administration

  • Process daily banking, rent payments, and reconciliations in Palace.
  • Manage creditor payments, direct debits, tenant refunds, and owner/supplier payments.
  • Handle bond lodgements and ensure compliance with payment timelines.
  • Prepare month-end and end-of-financial-year (EOFY) statements.
  • Charge tenant invoices and owner fees; follow up on incorrect creditor invoices.
  • Conduct monthly audits covering bonds, suspense accounts, and recoverable expenses.
  • Prepare rental arrears reports for property managers and the Operations Manager.

Compliance & Reporting

  • Manage property compliance (Healthy Homes, Smoke Alarms, Insurance).
  • Ensure all reporting and documentation follow internal audit and compliance standards.

Administrative Support

  • Conduct tenant background, ID, and credit checks as instructed by property managers.
  • Prepare tenancy documentation and manage lease expiry and inspection reports.
  • Coordinate inspection scheduling, reminders, and correspondence.
  • Upload available properties to Vault and issue vacate notices when required.
  • Enter new Property Management Authorities into Palace and send onboarding emails to landlords.
  • Send rent increase notices and SMS reminders in line with payment dates.

Operations & Process Improvement

  • Adhere to and recommend improvements to Standard Operating Procedures.
  • Support the Operations Manager and property management team as needed.
  • Leverage technology to improve process efficiency.
  • Participate in ongoing training and skill development.
  • Ensure all actions align with the organization’s vision and values.
  • Qualifications:Minimum 2 years’ experience as a Property Management Assistant in AU/NZ real estate.
  • Proficiency in property management software (Palace experience preferred).
  • Strong communication, organizational, and time management skills.
  • Detail-oriented with accuracy in financial and administrative tasks.
  • Proficient in computer and digital tools.
  • Ability to multitask, prioritize, and work efficiently under deadlines.
