Quick Rundown:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate is detail-oriented, trustworthy, and capable of streamlining workflows through process improvement and automation to enhance efficiency across daily operations.
What You’ll Do:
Executive & Administrative Support
- Manage executive calendars, meetings, and travel arrangements
- Prepare agendas, take meeting minutes, and track action items
- Handle correspondence, emails, and document preparation
- Act as a liaison between executives, internal teams, and external partners
- Maintain strict confidentiality of sensitive and confidential information
Process Automation & Workflow Improvement
- Identify repetitive administrative tasks and recommend automation solutions
- Assist in implementing process automations for scheduling, reporting, documentation, and approvals
- Maintain and optimize automated workflows using tools such as Google Workspace, Microsoft Office, CRM systems, and task management platforms
- Create and maintain standard operating procedures (SOPs) for both automated and manual processes
- Generate automated reports, dashboards, reminders, and trackers to support leadership decision-making
Operations & Coordination
- Track deliverables, deadlines, and follow-ups across multiple stakeholders
- Support onboarding and offboarding processes through standardized workflows
- Assist with project coordination, task tracking, and progress reporting
- Organize digital files and ensure proper documentation and folder structure
What We’re Looking For:
- Proven experience as an Executive Assistant or in a similar administrative role
- Strong organizational, time-management, and prioritization skills
- Excellent written and verbal communication skills
- Experience with process automation, workflow optimization, or productivity systems
- Proficiency in Google Workspace, Microsoft Office, and collaboration tools
- Ability to work independently, exercise sound judgment, and meet deadlines
- Experience with automation and workflow tools such as Zapier, Asana, ClickUp, Notion, Airtable, or CRM platforms
- Background in operations, project coordination, or process improvement
- Experience supporting senior executives or leadership teams
