Position Title: Executive Assistant

Work Set Up: On-site

Schedule: 4:00 PM - 1:00 AM PHT

Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga

Quick Rundown:

As an Executive Assistant to the Director, you will play a key role in enhancing the Director’s effectiveness by providing high-level support across a range of administrative, organizational, and project-based tasks. You will act as a gatekeeper, liaison, and trusted right-hand, ensuring smooth operations and enabling the Director to focus on strategic priorities.

What You’ll Do:

  • Manage and coordinate the Director’s calendar, meetings, and travel arrangements
  • Screen and manage communications including emails, calls, and correspondence
  • Prepare reports, presentations, meeting agendas, and minutes via online
  • Support the coordination and tracking of key business initiatives
  • Assist with personal and business-related errands or tasks as required
  • Liaise with internal teams, clients, and external stakeholders on behalf of the Director
  • Maintain confidential and sensitive information with discretion and professionalism
  • Monitor deadlines, follow up on outstanding items, and keep the Director on track
  • Handle basic bookkeeping, invoice tracking, or financial document organisation where needed
  • Provide ad hoc support on HR, marketing, or operational initiatives depending on business needs


What We’re Looking For:

  • Proven experience in a Personal Assistant, Executive Assistant, or Office Manager role
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication abilities
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Ability to work independently, manage competing priorities, and exercise initiative
  • High degree of professionalism, discretion, and confidentiality
