About The Client (AU)

We help miners and financiers build profitable partnerships by developing practical project strategies that win board and financing approval. We are the only law firm in Australia with 45 years of first-hand project development experience in mining, mineral processing and in forming successful partnerships between miners, governments, and financiers.

We are seeking a highly organized, detail-oriented, and proactive Paralegal / Legal Administrative Assistant to provide comprehensive legal and administrative support. This role is ideal for someone who excels in managing deadlines, organizing case files, handling billing and invoicing, and ensuring the smooth flow of daily legal operations. You will play a key role in managing documents, maintaining accurate records, supporting workflows, and keeping the principal informed of all critical dates and tasks.

• Maintain and organize legal files, documents, and correspondence.
• Keep detailed notes on ongoing matters and ensure all case information is up to date.
• Monitor deadlines, critical dates, and upcoming tasks; proactively remind the principal to ensure timely completion.
• Assist with drafting, formatting, and preparing general legal documents, letters, and templates.
• Support the development and maintenance of workflows and process documentation.
• Billing, Timekeeping & Invoicing
• Manage timesheets and ensure accurate time entries for all matters.
• Prepare, review, and issue invoices in a timely manner.
• Track billable hours and support billing-related follow-ups as needed.
  
  

Software & Tools Management

• Utilize Smokeball for file management, workflows, billing, and matter tracking.
• Use MS Office applications (Word, Excel, Outlook) for document creation, organization, and communication.
• Maintain digital file systems to ensure data accuracy and accessibility.
  
  

Daily Support & Task Coordination

• Organize the principals workday, including prioritizing tasks and managing schedules.
• Handle incoming emails, communications, and admin-related inquiries as needed.
• Ensure all documents and administrative tasks are completed efficiently and accurately.
  
  

Qualifications & Skills:

• Experience as a Paralegal, Legal Assistant, or Legal Administrative Assistant (preferred).
• Strong understanding of legal administrative processes and file management.
• Proficiency with Smokeball or other legal practice management software (highly preferred).
• Strong command of MS Office Suite (Word, Excel, Outlook).
• Excellent organizational skills with the ability to prioritize and manage multiple deadlines.
• Strong attention to detail and accuracy in document handling and billing.
• Excellent communication skills, both written and verbal.
• Ability to work independently with minimal supervision and always maintain professionalism.
• Proactive, reliable, and committed to maintaining confidentiality and high service standards.
  
  

Work Schedule (Dayshift)

• Monday to Friday (8AM-5PM; Manila Time)
  
  

Work Setup (WFH)

• Permanent Homebased
• Equipment will be provided by Outsourced
• Candidates are expected to have a stable/reliable internet connection with at least 20MBPS for both download AND upload speed.
