About The Role

We are seeking an experienced Referral Coordinator & Medical Scheduler with a strong background in U.S. healthcare to support a busy Internal Medicine practice. This role is responsible for managing referral coordination, patient scheduling, insurance verification, specialist appointment coordination, and administrative follow-up.

The ideal candidate has direct experience working within a U.S. medical practice, is highly organized, detail-oriented, and comfortable communicating with patients, providers, specialists, and insurance companies while managing multiple priorities in a fast-paced environment.

Key Responsibilities

Referral Coordination

  • Create, process, and track patient referrals from initiation through completion.
  • Submit referrals and supporting documentation to specialists and receiving facilities.
  • Monitor referral work queues and follow up on pending referrals.
  • Obtain consultation reports and ensure referrals are closed appropriately.
  • Notify patients once referrals have been processed.

Patient Scheduling

  • Schedule new and follow-up appointments in accordance with clinic protocols.
  • Coordinate specialist appointments and referral scheduling.
  • Manage appointment confirmations, recalls, cancellations, rescheduling, and no-shows.
  • Optimize provider schedules by filling open appointment slots.

Insurance Verification

  • Verify insurance eligibility and benefits prior to patient visits.
  • Determine referral and prior authorization requirements.
  • Confirm provider network participation and communicate patient financial responsibilities.
  • Escalate payer-related issues when necessary.

Administrative Support

  • Manage incoming patient messages and provider communications.
  • Process medical records requests and maintain accurate documentation.
  • Coordinate with virtual assistants to ensure insurance verification and referral processing are completed.
  • Support fax management, document handling, and patient portal communications.

Required Qualifications

  • Minimum 3 years of experience working in a U.S.-based medical practice.
  • At least 2 years of experience in one of the following:
    • Referral Coordinator
    • Medical Scheduler
    • Patient Care Coordinator
    • Medical Administrative Specialist
  • Experience supporting Internal Medicine, Family Medicine, Multispecialty Clinics, Cardiology, Endocrinology, or Gastroenterology.
EMR Experience

  • eClinicalWorks (eCW), Epic, Athenahealth, NextGen Healthcare, Cerner

Required Knowledge & Skills

  • Referral coordination

  • Prior authorizations
  • Medicare and Medicare Advantage plans
  • Commercial insurance (UHC, BCBS, Aetna, Cigna)
  • Patient communication
  • Medical records and document management
  • Microsoft Office and Google Workspace
  • VoIP systems

The Ideal Candidate Is

  • Detail-oriented and highly organized.
  • Comfortable handling outbound patient calls.
  • Able to manage multiple priorities independently.
  • Professional, patient-focused, and an effective communicator.
  • Experienced working in a fast-paced U.S. healthcare environment.

Nice to Have

  • Experience with Internal Medicine or Family Medicine practices.
  • Experience using eClinicalWorks (eCW).
  • Familiarity with Medicare Advantage plans, UHC, BCBS, and other commercial payers.
  • Experience supporting referral work queues and specialist coordination.

Work Schedule

  • Monday-Friday, 11:00 PM-7:00 AM PHT (Manila Time)

Work Location:

  • Home-based
  • Should have a strong internet connection (minimum of 20 MBPS)
