PROPOSAL COORDINATOR

Quanta Philippines ROHQ is the regional operating headquarters of Quanta Services, Inc. located in Manila, Philippines. The ROHQ supports Quanta’s international expansion by sourcing and developing highly qualified workforce for Quanta companies in the US, Australia and worldwide. The Proposal Coordinator is responsible for pre-emptively coordinating and organizing timely and accurate responses to informal client enquiries and to formal proposals for each of the company End-Markets. This position will also provide input and support to the Project Management Office's goals.

KEY RESPONSIBILITIES

• Provides recommendations to the Proposal Manager to aid in the timely and accurate completion of all proposals.
• Enables proactive communication for the proposal preparation team by using appropriate technology and systems
• Proactively facilitates and prepares proposal kick-off meetings and ensures all proposal data is documented and shared appropriately, including undertaking preliminary research on potential proposal structures
• Ensures the proposal preparation process is followed and encourages all contributors to provide timely input
• Ensures all proposals reflect a high quality, professional and Percheron and client-compliant deliverable and proof-reads when necessary
• Ensures completed proposals and submissions meet deadlines as required by the client
• Maintains all relevant information for prequalification, proposal requests and completed proposals in a secure, organized, and searchable manner
• Conducts regular audits of the proposal process and recommends continuous improvements
• Is a ‘SuperUser’ in Deltek Vantagepoint ERP for relevant and accurate proposal set up and data entry and is the prime contact for other users for proposal set up
• Other duties as assigned

REQUIRED EXPERIENCE

• Should have at least 5-years of industry-specific work experience with a strong knowledge of the proposal preparation process and purpose
• Must be detail-oriented and able to work quickly and accurately to help maintain proposal deadlines
• Must be proactive and always looking for ways to continually improve the proposal submission process and quality of client submissions
• Must be proficient in Microsoft Office products, ie. Word, Visio, Excel, Access, SharePoint, PowerPoint, and Teams
• Ability to work autonomously and to collaborate fully as a team player
• Ability to pay close attention to details, and present good planning, organization, and time management skills
• Ability to work in a team environment and willingness to assume additional or new responsibilities readily
• Ability to maintain regular attendance as per work schedule agreed with manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted)
• Ability to comply with applicable laws and regulations and Company policies and procedures
