Role Overview

The Project Manager is responsible for the end-to-end coordination and successful delivery of projects across our clients portfolio. This role ensures projects are delivered on time, within budget, and in accordance with company standards and specifications.

The position requires strong ownership of project outcomes, including planning, coordination, and execution across all stages of the project lifecycle.

Key Responsibilities Project Delivery & Coordination

• Manage multiple projects from initiation through completion
• Coordinate installers, subcontractors, and suppliers across project sites
• Prepare and submit permit applications as required
• Track freight, logistics, and material deliveries to meet timelines
• Create and manage material requisitions
• Review project proofs, drawings, and specifications for accuracy
• Plan and coordinate installation schedules
  
  

Workflow & Task Management

• Plan, prioritise, and execute tasks across multiple active projects
• Maintain accurate and up-to-date project documentation
• Provide proactive progress updates
• Identify risks, delays, and issues, and implement corrective actions
• Work effectively within project management systems
  
  

Project Lifecycle Management

• Oversee all stages of the project lifecycle, including:
• Project setup and internal handover
• Design coordination and approvals
• Procurement and production
• Installation planning and execution
• Project close-out
• Ensure all approvals, QA processes, and documentation are completed
• Maintain accurate work-in-progress (WIP) tracking

Financial & Commercial Coordination

• Monitor budgets and track project costs against estimates
• Identify cost risks and implement mitigation strategies
• Manage variations, purchase orders, and invoicing
• Support project profitability through accurate execution
  
  

Communication & Stakeholder Management

• Coordinate with internal teams (Sales, Estimating, Design, Production)
• Liaise with suppliers and subcontractors to ensure timelines are met
• Maintain clear, structured, and well-documented communication
• Draft external communications using internal AI tools
• Ensure all communication aligns with company standards
  
  

Quality, Compliance & Safety

• Ensure compliance with company standards and specifications
• Support safety requirements and site documentation (e.g., SWMS)
• Maintain quality control across all project stages
• Ensure complete and compliant project records
  
  

Key Performance Indicators (KPIs)

• On-time, in-scope project delivery
• Accuracy in scheduling, procurement, and documentation
• Reduction in project errors
• Effective task and deadline management
• Accuracy of WIP tracking and records
• Strong internal coordination across teams
  
  

Skills & Experience Essential

• Proven experience managing projects end-to-end
• Strong organisational and time management skills
• Ability to manage multiple projects and priorities
• High attention to detail and process-driven approach
• Ability to work independently and take ownership
  
  

Technical

• Experience with project management tools/systems
• Proficiency in Microsoft Office or Google Workspace
• Understanding of procurement, logistics, and installation workflows
• Strong written communication skills, including use of AI tools
