Key Responsibilities
Administration & Customer Service
Manage and respond to emails, including service bookings, customer enquiries, builder communications, and general administrative requests.
Maintain and organize personal and shared inboxes to ensure timely communication.
Answer and manage incoming phone calls, directing enquiries to the appropriate team members when required.
Provide professional support to customers, builders, subcontractors, suppliers, and internal stakeholders.
Deliver general administrative support to ensure smooth day-to-day business operations.
Maintenance Coordination
Coordinate the end-to-end maintenance process, from booking through to job completion.
Schedule maintenance appointments with clients and allocate jobs to technicians and subcontractors.
Keep builders and clients informed of appointment schedules and job progress.
Prepare completion notices and maintain accurate maintenance records.
Service Scheduling & Bookings
Schedule and coordinate service appointments efficiently.
Manage booking changes, cancellations, and customer follow-ups.
Ensure all service jobs are accurately entered and updated within company systems.
Compliance & Energy Applications
Prepare and process Electrical Safety Certificates (Certificates of Electrical Safety).
Submit online energy applications and maintain accurate compliance records.
Liaise with energy distributors, retailers, builders, and electricians to facilitate approvals and application requirements.
Insurance Claims Coordination
Coordinate insurance claims from initiation through resolution.
Communicate with insurers, clients, and technicians to monitor claim progress and provide timely updates.
Maintain accurate claim documentation and records.
Fleet & Vehicle Administration
Coordinate vehicle servicing, repairs, and ongoing maintenance for the company fleet.
Schedule vehicle bookings with service providers and liaise with insurers regarding vehicle-related claims and repairs.
Monitor fleet maintenance schedules to ensure vehicle readiness and compliance.
Communication & Office Coordination
Act as the primary point of contact for incoming communications across the business.
Screen, prioritize, and distribute calls and enquiries efficiently.
Support operational teams by ensuring timely communication between builders, clients, technicians, subcontractors, suppliers, and internal staff.
Assist in maintaining efficient workflows and providing administrative support across the office.
