Role Overview
The Administrative Assistant will provide end-to-end administrative and operational support to a growing Auckland-based transport company that operates 24/7. The role focuses on email-based communication, documentation, coordination, and general back-office support to help the operations team run smoothly during a fast-paced peak season and beyond.
Key Responsibilities
General Administration
Manage and respond to emails, ensuring timely and professional communication.
Prepare, format, and maintain documents, spreadsheets, and reports.
Maintain and update internal records, databases, and shared folders.
Support the office team with daily admin tasks as required.
Operations & Coordination Support
Assist dispatch and operations teams with documentation and follow-ups.
Coordinate with internal stakeholders (e.g., drivers, office staff, GM) via email and online tools.
Track and update status of ongoing jobs, schedules, and assignments as required by the team.
Help collate information needed for planning during peak season.
Data & Reporting
Enter, verify, and maintain accurate data in company systems.
Generate simple operational/admin reports as requested by the GM or heads of department.
Assist with organizing information for management reviews and planning.
Process & Systems Support
Follow existing company processes, SOPs, and workflows.
Provide feedback on inefficiencies and support continuous improvement initiatives.
Learn and use the companys administrative and transport-related systems/software.
Qualifications & Experience
At least 3-5+ years of proven experience in administrative / back-office / operations support (ideally with international or logistics/transport exposure).
Strong English communication skills (written and verbal); able to correspond professionally via email.
Comfortable working in a fast-paced, growing business with evolving processes.
Experience with MS Office / Google Workspace and common productivity tools.
Previous experience supporting a transport, logistics, or similar operational environment is a plus.

High attention to detail and accuracy in documentation and data entry.
Strong organizational and time management skills.
Proactive, reliable, and able to work with minimal supervision.
Comfortable working with a New Zealand-based team and adapting to their workflows.
Strong work ethic and willingness to support different admin tasks as the company grows.
Work Schedule
Full-time (40 hours/week)
Exact schedule to be aligned with New Zealand operations; likely to support New Zealand business hours or overlapping shifts as required by the team.
