About the Client

Our client is a preowned luxury fashion tech company, that enables brands and retailers to buy & sell used goods through innovation and technology. They have developed a unique Resale as a Service solution utilized by the world’s largest retailers, and are also a global distributor (B2B player) of pre-owned luxury fashion for businesses. They currently have offices and warehouses in Portugal, Estonia, US, China, Japan, and the Philippines. They foster curiosity, by continuously providing our team members with avenues to explore, experiment, innovate and disrupt the current luxury resale model in a nutshell, that is our essence.

The Operations team is central to the organization, overseeing the entire product journey. This includes managing all Supply Chain activities from Inbound, Quality Control, and Visual Asset Management to Logistics fulfillment and Delivery. The team is also responsible for developing and implementing new operational processes, optimizing efficiencies, and managing costs. The team is geographically distributed, with members located in the Philippines, Portugal, China, and Japan.


About the Role

The Client is looking for a talented, highly motivated Jr. Operations Specialist to become part of their global operations network and a part of the Operations team in Manila. The associate will have a pivotal role inside the Logistics team, serving as IMPEX Jr. Operations Specialist.

The IMPEX Jr. Operations Specialist will be responsible for a set of tasks and coordination activities with the focus to maintain a very high standard in terms of output, quality, and service level for Import/Export (IMPEX) and Logistics activities. This colleague will ensure proper tracking, monitoring, and compliance across international borders, enabling a smooth and stable operations flow in their field of responsibilities.

We are looking for someone with a strong sense of responsibility and with the capacity to work in an autonomous and proactive manner. Employees bring strong strategic thinking and hands-on execution to their daily work independent of seniority level. You should be comfortable operating in a fast-paced, evolving environment. Previous know-how in the Second-Hand Luxury Market is a major plus; an interest to learn on the job and become proficient in international trade compliance and logistics is a must-have.


Working Hours / Schedule: 9:00 am to 6:00 pm PHT , Monday to Friday.

Work Setup: Remote / Work from home (occasional face-to-face gatherings and onboarding at the Sheridan office.)


Key responsibilities and expectations include:

  • Ownership for troubleshooting: Raising blockers in the shipping, customs, and delivery processes in a timely manner.
  • Problem-solving mindset: A strong "get things done" attitude with an ability to investigate and resolve complex transit delays.
  • Autonomous & proactive: Collaborative ways of working with both internal teams and external global couriers.
  • Analytical capability: Aptitude for compiling data, building presentations, and providing actionable solutions for shipping concerns.
  • Tools proficiency: Knowledgeable in Google Workspace tools and applications (Sheets, Slides, etc.).
  • English proficiency: Easiness to work and communicate in a full English-speaking and multi-cultural environment.


What you’ll do

  • Manage the Japan returns flow process (RGR), ensuring seamless compliance and execution.
  • Investigate and resolve transit delays across all order shipments, return-related shipments, and buyback-related shipments to manage delivery timelines effectively.
  • Support the courier claim process by handling, investigating, and communicating the results for missing items, lost packages, and courier-caused delivery delays.
  • Conduct deep-dive investigations into shipping delays and costs for specific clients, specifically managing shipping penalty fees and other monthly charges to Luxclusif.
  • Maintain data integrity by continuously updating and correcting tracking number details and shipment statuses.
  • Deliver daily reporting regarding shipping concerns, accompanied by proposed operational solutions.
  • Analyze and prepare performance decks specifically targeting missing and damaged shipments for management review.
  • Explore and research import-export regulations, compliance rules, and trade limitations across different global territories.


What You Bring

  • You studied Business Administration, International Trade, Industrial Engineering, or an Operations/Logistics-related field.
  • You bring at least 2 years of work experience in logistics, courier management, or import/export operations.
  • Experience in International Import & Export is required; a background or knowledge of the second-hand luxury market is highly advantageous.
  • You are structured, organized, and deeply detail-oriented, with strong follow-through when dealing with complex customs or courier investigations.
  • Adaptable, flexible, and collaborative, with a “can-do” attitude; you thrive in fast-paced environments and work confidently and autonomously.
  • Proficient in English, both written and spoken, with excellent communication skills necessary for stakeholder and courier management.
